Company Overview:
Our client is a leading privately-owned funds and property management company specialising in retail shopping centres. We are currently seeking a dedicated Tenancy Delivery Administrator to join the team. In this role, you will be responsible for providing crucial administrative support to the Tenancy Design & Delivery team across shopping centres in NSW, VIC & QLD.
Key Responsibilities:
  • End-to-End Leasing Support: Manage and maintain the End-to-End Leasing Tracker, ensuring accurate and up-to-date information.
  • Meeting Coordination: Schedule and assist in running Tenancy Delivery Meetings, including taking minutes and distributing relevant information to participants.
  • Tenant Communication: Issue essential documents such as Owners Consent, Final Design Approval Letters, Handover Notices, and Tenancy Plan Packs to tenants, facilitating a seamless fit-out process.
  • Stakeholder Collaboration: Collaborate effectively with internal teams and external designers/tenants, providing necessary support and ensuring clear communication channels.
  • Administrative Tasks: Organize activities related to Tenancy Delivery, such as Hoarding Installs & Removals, issuing Tenant Invoices, and providing Contractor Fit-out Guidelines.
  • Document Management: Maintain well-organized Tenancy Delivery Folders, ensuring all documentation is filed accurately and can be accessed easily when needed.
  • Process Improvement: Identify opportunities for efficiency within administrative tasks, contributing to the enhancement of our processes.
Qualifications:
  • Technical Skills: Proficiency in Microsoft Office 365 suite, especially strong Excel skills. Basic knowledge of construction processes is a plus.
  • Communication: Exceptional verbal and written communication skills, enabling you to build strong relationships with stakeholders.
  • Organization: Outstanding organizational abilities, attention to detail, and the ability to consistently meet deadlines.
  • Experience: Previous experience in a coordination/administration position, preferably in a similar industry.
