About the role
The Tender & Bid Coordinator’s purpose is to provide support to the Contracts Team throughout the tendering process including coordination of materials, proposals, pre-qualifications and supplier presentations to achieve the Company goals. You will be providing administrational support to Executive General Manager - Growth & Strategy including calendar scheduling, travel and flight arrangements.
Duties included but not limited to;
- Deliver tender services including information gathering, collating documents, tracking deliverables against timelines, database management, booking and managing meetings, and communicating with all stakeholders.
- Coordinate proposal and document responses and inputs from multiple sources to produce accurate, timely, high-quality sales and business proposals to support the company’s growth and business retention programs.
- Prepare monthly progress claims, manage cost reports, and ensure costs are complete and accurate.
- Assist in maintaining currency and accuracy of business segment templates and documentation.
- Manage tender correspondence and registers in line with internal and external guidelines.
- Manage the storing of all documentation relating to tenders, electronic and paper.
- Liaise with Clients, Sub Contractors, Suppliers, Consultants, as required.
- Prepare variation documents, as required.
- Contribute to the ongoing improvement of systems, and tender processes, offering strategies to improve performance as necessary
- Tertiary qualifications in Administration/Business/Commerce or other relevant technical field.
- Minimum 3 years’ experience in a commercial or contract administration role.
- Demonstrated good safety record and knowledge of Occupational Health & Safety.
- National Police Clearance
- Valid WA Driver’s Licence - “C” Class.
- Excellent time management, organisational and presentation/finishing skills
- High level customer relationship management and interpersonal skills.
- Ability to work well under pressure whilst maintaining high level of accuracy and attention to detail.
- Highly organised with the ability to prioritise, schedule and plan.
- Excellent verbal and written communication skills.
- Ability to work independently using own initiative and within a cohesive team environment.
- Internet and PC proficiency with advanced MS Word, Excel, PowerPoint, MS Project, and Outlook Skills.
- Demonstrated level of analytical, numerical, and problem-solving skills.
- Ability to listen actively and retain information accurately.
Desirable Skills
- Demonstrated Project Management experience.
- Previous experience in a tender proposal environment
- Experience in a similar role in the electricity, engineering, infrastructure, utilities, construction and/or resources industry.
- Experience in commercial contract formation and tendering processes.
- Demonstrated level of commercial insight
