Job description

The United Workers Union is seeking a highly skilled Training and Events Administrator for the Member Power – National Education and Campaign Team. This role can be performed from any location, but it is preferable if the applicant were located in Melbourne, New South Wales, or Queensland.

ABOUT THE ROLE
The role works with the Director and Deputy Director of Member Power and the Member Power team to drive and maintain a nationally centralised TRAINING AND event database and administrative systems and processes which underpin the work of the Member Power program for the United Workers Union.
This role is a national administration role and would suit someone with high level administrative and database skills.
KEY RESPONSIBILITIES
The Training and Event Administrator will provide high level administrative support to the National Member Power Team. The person must possess strong organisational and administration skills and will be a detail-oriented team player with great communication and problem-solving skills.
The role will include the administration management of the Training and Events national centralised database including set-up, registration, enrolment and release of members, delegates, safety representatives and staff for all national member power programs. The role will also include being responsible for the logistics, administration and enrolment systems and processes for all National and State events that are coordinated by Member Power – eg: staff meetings, delegates conferences and National Convention.
Key Duties
The duties of this position are as follows:
Responsibility for building the administration and database systems and process that support the National Training and Events calendar including setting up online annual calendar in Cvent, Outlook and UnionWare
Working with the Director of Member Power and team to manage scheduling conflicts and establishing effective systems for the logistics and resources supporting TRAINING AND EVENTS including room and venue bookings, merchandise, stationary, catering, and reimbursements.
Working with membership (Union Ware) and training database (Cvent) to manage and maintain an effective registration, enrolment and confirmation system for members, delegates, and staff
Managing the administration systems supporting the confirmation of work release, travel bookings and reimbursement for lost time for members, delegates and staff enrolling in member power programs
Communicating and engaging with portfolio teams to set-up events and problem solve registration, release and attendance issues.
Working with the member power team to build administrative support around an effective tracking and follow up including producing regular unionware and cvent reports
Using online and digital tools including website and intranet to ensure that up to date TRAINING AND event programs and resources are being shared and communicated internally and externally
Devise and maintain a centralised document file management system including data management, adhering to compliance, and auditing processes and working with WHS Educator/Organiser as part of a quarterly administrative compliance audit
Managing the Work Health and Safety filing and administrative and system in accordance with compliance and auditing standards
Produce documents, reports and presentations as requested by the member power leadership team
Coordinate and organise the logistics for member power TRAINING AND EVENTS including booking venues, logistics and catering for member power team in accordance with the UWU budget and policy process
Develop good working relationship with members, delegates and Member Power team and relevant portfolios accessing Cvent and/or member power TRAINING AND EVENTS
Training portfolio teams on the Cvent platform, portal and develop an understanding of course registration processes and release and WHS compliance
Other duties as requested
Travel
This role requires minimal travel, but there are key responsibility for managing and assisting with booking travel, accommodation and hire cars in line with UWU approval process for all participants on Member Power courses.
KEY SELECTION CRITERIA
The duties of this position are as follows:
A passion and drive to improve workers’ lives and achieving the goals of the Union.
Experience in a similar operational role:
High level administrative skills and a good working knowledge of the whole suite of Microsoft 365 programs, especially Word, Excel, PowerPoint. Essential high-level skills with mail merge and spreadsheet development.
Attention to detail and high-level UnionWare membership and database skills.
Familiarisation with CVENT is desirable but not essential but any successful applicant will need to undertake TRAINING AND certification for Cvent.
High level communication, stakeholder and organisation skills
Compliance or Governance administration experience especially around government funding or approved training programs such as approved Work Health and Safety Training Programs
Excellent organisation and problem-solving skills including initiative and drive to improve systems and process
Comfortable with a fast paced and changing environment and managing conflicting deadlines.
Willingness to learn new skills including new IT systems and online and digital administration systems to improve TRAINING AND EVENTS internal and external communications.
To perform this job you will also be required to have or obtain and maintain:
A valid driver’s licence; and
Right of Entry Permits
Immunisation against COVID-19 or have a medical exemption
REMUNERATION
An attractive remuneration package will be offered to the successful applicant, which will include:
Salary commensurate with demonstrated skills and experience;
16% superannuation
4 weeks annual leave plus 25% leave loading
