As we continue our transformation and growth journey, we are now looking to appoint aTransport Administratoron a fixed term 6-month contract at our Hume Road facility in Laverton North, Melbourne.

Reporting to the Operations Manager, Vic Transport, this role incorporates 3 functions within the Transport Administration team - Invoicing, Bookings and Customer Service.

This role is responsible for the management of relevant process and documentation in preparation for accurate and efficient invoicing to customers and SPA payment to subcontractors. The role will also capture and manage all operational and fleet related supplier costs.

Key responsibilities include, but are not limited to:

Daily processing of drivers run paperwork:

  • Copying and collating drivers' timesheets with all pallet documentation
  • Scanning all proof of delivery paperwork into TMS
  • Accurate data entry of DIFOT information, hours, demurrage, customer specific references and final delivery quantities
  • Customer discrepancy reporting - shortages and damages noted on proof of delivery paperwork

Weekly close off: all customer transport related costs - payments to sub-contractors:

  • Ensuring all customer invoicing data and subcontractor SPA data is accurate before processing
  • Creating and issuing customer invoices and Subcontractor SPA's
  • Working within the deadlines required for Finance to meet weekly reporting times
  • Maintaining subcontractor accruals ensuring all costs accrued are processed in a timely manner

Purchasing & Bookings:

  • Ensuring efficient processing of supplier invoices to accounts payable
  • Liaising with suppliers in relation to purchasing and invoices
  • Liaising with internal and external customers, ensuring effective communication of end-to-end supply chain process, i.e. from customer order to delivery point.

Customers and subcontractors:

  • Addressing customer queries in relation to billing or proof of deliveries
  • Entering credits and claims into Claims Management as required
  • Addressing any subcontractor payment queries

To be successful, you will ideally have:

  • Experience in a similar role and/or industry experience
  • Experience liaising with customers to assist with issue resolution
  • Understanding of Chain of Responsibilities (CoR) principles
  • Experience working within an accounting/invoicing function
  • Well-developed IT skills (Microsoft Office and TMS)
