understanding of how all of the cogs turn in our machine. As our clinic is mobile, we consult patients in many different locations and work with a broad network of referring veterinarians. Don’t worry, we know logistics can be tricky; and we’re here to help you while you learn.
Job Description
As the clients' first point of contact, our receptionist will play a crucial role in creating a positive, welcoming and comforting environment. This position requires excellent communication skills, strong organisational abilities and a genuine passion for assisting animals and their owners during challenging times. The complexity of organising appointments for various locations with different needs, while balancing numerous client enquiries can lead to this role being highly dynamic and demanding at times. To ensure that clients feel well cared for and confident in our services, our receptionist needs to remain calm, composed, friendly, and compassionate.
The responsibilities of this role would include:
* Greet clients over the phone and email with warmth and professionalism.
* Schedule appointments and manage the clinic’s reception email account.
* Collect and record client and patient information, insurance details and
communication notes.
* Collaborate closely with veterinarians and nurses to ensure seamless
communication regarding client and patient arrivals/departures, scheduling,
documentation, medication orders and other ad hoc requirements.
* Assist with reconciling client accounts, including processing payments, insurance claims, and other financial transactions with third-party payment plan providers.
* Reception-level phone triage, with the support of the hospital’s veterinarians and veterinary nurses.
The ideal candidate will possess:
* Experience in a customer service or administrative role within a veterinary hospital or other healthcare facility.
* Good verbal and written communication skills, with the ability to effectively interact with clients, colleagues, referring veterinarians, and vendors.
* Excellent organisational abilities and attention to detail, with the capacity to
multitask and prioritise tasks in a fast-paced environment.
*Empathetic and compassionate demeanour, with a genuine passion for assisting animals and their owners.
* Proficiency in computer skills, including experience with Patient Management Software and the Microsoft Office Suite.
* Ability to remain calm and composed
* A commitment to upholding the highest standards of professionalism,
confidentiality, and ethical conduct.
* Reporting to senior management if a client is abrupt or conducts themselves
inappropriately, as abuse of staff is strictly not tolerated at the Veterinary Dermatology Clinic.
