KEY RESULT AREAS (TASKS & RESPONSIBILITIES): JOB SPECIFIC
• Ensure that customer service and quality measures are followed.
• Communicate with customers (internal and external) in a positive, clear and timely manner.
• Oversee the daily operations and support requirements for the Warehouse.
• Supervise the daily workflow in all areas to ensure smooth and efficient operation.
• Understand and be able to operate in all of the Warehouse functions as required.
• Assist the Warehouse Manager with the Coordination of product suppliers and freight service providers.
• Identify improvement opportunities, providing practical solutions and implementing those changes.
• Work in conjunction with the Warehouse Manager and other key Office personnel to facilitate efficient Warehouse operations.
• Assist the Warehouse Manager with KPI monitoring and reporting.
• Ensure employee coaching and development to support the improvement of staff
• Ensure responsibility for compiling, assessing and monitoring information for the Key Warehouse Performance Indicators.
• Review, daily, actual and target performance levels and provide comments on variances.
• Report on supplier performance issues in relation to product supply and distribution services.
• Maintain required Warehouse and distribution productivity levels.
• Achieve On-time in full delivery % as per KPI.
• Completion of weekly OHS, Forklift and Racking checklists
• Manage daily work activities to ensure staff allocation is effective to meet priorities;
• Address performance issues with operational staff on the floor, and escalate to the appropriate level as required;
• Plan, recommend and coordinate all staff administration;
• Demonstrate a proactive and flexible hands-on approach;
• Assist the Warehouse Manager to develop high personal performance standards for the Staff;
• Assist with the selection process for new staff to ensure vacancies are always filled;
• Assist with the Development of training plans to meet the desired outcomes of training and multi skilling initiatives and conduct training as required;
• Co-ordinate and participate in annual performance reviews for the Warehouse team.
• Ensure effective use of computerized support systems and packages to achieve maximum productivity;
• Train staff in the use of the computerized systems to conduct activities;
• Utilize computerized systems to monitor operational performance;
• Identify and recommend improvements to business and computer-based systems;
• Implement business and technology-based improvements.
• Participate in operational development projects as directed for business continuity and sustenance
KEY RESULT AREAS (TASKS & RESPONSIBILITIES): ORGANISATIONAL
• Have a duty to take care for their own health and safety and of others affected by their actions or inactions at work.
• Comply with safety procedures and practices that have been put in place by Independence Australia to minimise the risk of injury to workers, contractors, customers, volunteers and visitors and to control identified hazards in the workplace.
• Do not wilfully interfere with or misuse equipment, materials or facilities provided in the interest of health, safety and welfare of those who attend a workplace.
• Do not wilfully interfere with or misuse information or instructions provided in the interest of health, safety and welfare of those who are in their care at the workplace.
• In accordance with agreed Independence Australia procedures for accident and incident reporting, report near misses, potential and actual hazards to their immediate supervisor for resolution.
• Participate in regular safety checks, including fire drills and contribute to the evaluation and review of such procedures.
• Attend training provided or organised by Independence Australia to ensure compliance with OHS requirements.
• Assist the Management in overseeing Document control/management, auditing, reporting and corrective action processes;
• Assist the Management with the implementation of audits program, system failure analysis, and subsequent procedure development;
• Manage product recalls, in conjunction with the OHS & Quality Manager & Purchasing Manager.
• Recommend improvements to address system shortcomings.
• Identify opportunities for best practice and continuous improvement and communicate these effectively with the team and the organisation.
• Ensure that the services provided by Independence Australia to internal and external customers, are maintained in accordance with our quality measures and are effectively communicated in a timely matter.
• All IA employees are required to acquaint themselves with the organisation’s policies and procedures and to abide by them at all times.
EDUCATION & EXPERIENCE
Skills, Experience & Qualifications:
• Qualifications in Warehouse Operations, Logistics, management or equivalent or willingness to undergo training to obtain the same;
• Experience in Reach driving with a valid forklift license
• Experience in full range of retail & warehouse operations, freight systems and supporting technologies;
• Commitment to the principles, policies and implementation of OH&S and Quality Standards;
• A self- starter with excellent communication skills;
• Strong people leadership skills
• Proven and extensive track record in warehouse technology-based operations;
• Ability to develop and prepare KPI based reports and analysis;
• Experience with contemporary management and logistics technology and practices;
• PC skills and experience including Microsoft Word and Excel;
• Ability to use related business & management support systems;
• Confident under pressure with a capacity to deal effectively with multiple tasks and competing demands and meet deadlines.
Desirable
• Experience in fast paced FMCG storage and distribution;
• Experience in management of retail activities and associated warehouse systems;
• Formal qualifications (preferably in management, logistics or warehousing) will be highly regarded;
• Practical experience of financial & budgetary control as related to warehouse operations.
Personal Qualities:
• A pro-active attitude, a high degree of initiative and a positive approach
• Willingness to participate in multi-skilling activities
• Willingness to broaden product knowledge in the area of continence and wound care products, and to keep abreast of product developments in the general health care area;
• Willingness to coach and develop staff
