The Village Retirement Group is seeking a full-time Administration Assistant based in our Fortitude Valley head office, Brisbane, QLD.
The Role
Join us as an Administration Assistant, where you'll be instrumental in the seamless operation of our renovations and facility Asset Management. Reporting directly to the Group Facility and Asset Manager (GFAM), you'll ensure that every administrative detail is handled with precision, contributing to the efficient management of our renovation projects.
This role involves supporting the GFAM through administrative tasks crucial to the renovation of resale units within our retirement villages.
More specifically, your responsibilities include but are not limited to:
- Providing administrative support to the GFAM
- Coordinating all data entry requirements of the administrative practices
- Handling trade bookings, calendars, quote requests, and invoicing for work related to the Reinstatement/Renovation process
- Developing and assisting with the coordination and delivery of correspondence, reports, summaries, and forecasts
- Maintaining professional communication with key stakeholders on behalf of the GFAM
- Ensuring all administrative aspects of the reinstatement project lifecycle are completed in a timely manner

About You
To qualify, you will need demonstrated capabilities in coordinating schedules and a proven ability to present schedules and align calendars. Previous experience in administrative roles within Asset Management, renovations or similar would be highly regarded but not essential.
Additionally, the following skills and background will be highly valued:
- Sound to advanced computer skills, including Microsoft Excel
- Experience in accounts payable and invoice processing
- Basic understanding of bookkeeping principles
- Competence in general accounting procedures
- Strong organisational and time management skills
- Ability to multi-task under pressure
- Excellent written and verbal communication skills
- Strong attention to detail and problem-solving abilities
