The Opportunity
Our client is seeking to employ an Admin Assistant/Medical Secretary to join its busy practice in Murdoch, supporting multiple specialists.
You will need to attend the consulting rooms where the specialists see patients. In addition to Murdoch, these are typically Midland, West Leederville/Subiaco or Nedlands.
At other times, subject to operational requirements, you will work from the rooms or you can work from home.

The Position
You will be responsible for the day-to-day operation of the practice and maintaining medical records. You should demonstrate excellent organisational skills and perform well in stressful situations to ensure steady workflows and uninterrupted service is provided at the highest level.
You must be comfortable talking with people on the phone, talking to patients about money and securing payment.
Given the extended periods that the doctors are in theatre, you must be comfortable to (at times) rely on contact with the practitioners via email, phone, SMS and other electronic communications tools.
Duties and Responsibilities:
- All aspects of reception and telephone management
- Contact with the public, patients, doctors and other medical people
- Make appointments, handle patient inquiries, ensure complete follow up
- Complete all details for theatre bookings, including liaison with referrers, hospitals, anaesthetists, other surgeons and their secretaries
- Fully prepare for all consulting sessions, including patient lists and file
You will need the following skills and attributes:
- You are brilliant, motivated and consistently demonstrate high initiative to learn
- You are super organised, a fast learner
- You always do whatever it takes and never provide excuses – you are 100% reliable
- You have proven experience working in professional practice (it is not necessary to have been a medical practice)
- You have excellent attention to detail and organisational skills (this is critical)
- You have well-developed communication skills
- You have the confidence to work autonomously
- You have a mature approach to your work in handling sensitive information
- You can multi-task, use your initiative and follow tasks through to completion
- You have excellent computer proficiency
