Youre a systems and procedures wizard, someone who loves keeping everyone organised - that person that walks into your besties wardrobe and organises it by colour. Your socks are always paired and turning chaos into calm is your jam.
Youve worked in admin before (ideally in a products and/or events based business), you prefer small teams and working with local businesses, you work well independently, but play well with friends (Team AZTECA!)
Youre not afraid of roles that arent rigidly defined, and comfortable creating systems and processes, as well as learning existing ones.
You don’t want to read the handbook, you want to write it.
ABOUT US
AZTECA Margarita is a bottled Margarita and events Company based in Billinudgel. Founded by Tommy from Mullumbimby and Jessie from California, the two have worked together under the AZTECA banner, first as Mexican food caterers in Sydney, and then as Margarita barons for 7+ years. Alongside a small, dedicated and close-knit team, AZTECA is kicking goals. But we need your help!
ABOUT THE ROLE
Work from home and 2 locations in Ocean Shores (home office) & Billinudgel (warehouse)
Flexible hours/days, can work around school schedules. Ideally 3-5 hours per day, 3-4 days per week. Scope for more if you have the skills and know-how to move AZTECA in the direction of total margarita domination.
Key Skills
Life Saving
- Okay, not actual life-saving. But minimising stress and heartache across the team. This might mean organising travel, waiting on hold with Auspost, chasing up a supplier whose stock hasnt arrived, or running into town to pick up that ‘oh s***!’ item we forgot (again!).
Organisation
- Develop administrative systems and procedures to streamline processes and increase effectiveness and efficiency
- Maintain ‘Master Calendar’ of all scheduled markets, events, festivals, private bar hire etc (on Google Drive)
- Develop a system for tracking bar hire enquiries, respond to their initial request with templated email, follow-up if no reply, keep record of enquiries/bookings, ensure our availability, raise deposit invoices.
Data Entry
- Keep up to date spreadsheets of customer (wholesale) order history / frequency - nudge sales rep when there are extended gaps in ordering
- Track individual market sales results / sales rep working
- Keep current our retailer spreadsheet that synchs to our website
- Monitor key marketing results (followers, likes, website views)
Accounting
- Reconcile accounts
- Assist bookkeeper and accountant in keeping up to date, compliant records and
- Ensure wholesale accounts are current and if not, chase up late payments, support them on payment plans
- Manage accuracy of GST & customer contacts
Customer Service / Communication
- Respond to enquiries about late/damaged parcels, working with Auspost/Sendle to submit insurance claims, ensuring replacement orders are sent
- Embrace with gusto a customer first, positive attitude, that shows AZTECA cares about them, our brand, and the integrity of our products
Compliance
- Ensure business insurance policies, auto insurance policies/rego, RSAs, Food Safety Supervisor certificates, local council trading permits, application deadlines, Liquor & Gaming licenses etc are current
- Establish a calendar for renewal dates / deadlines
Big Bonus #1 - FMCG experience
- Experience growing with food/drink brands, working with distributors / expanding into new areas
Big Bonus #2 - Marketing Coordinator Experience
- Experience managing platforms such as Instagram, Tiktok, Pinterest, Etsy, Youtube (content provided to you, scheduling posts, monitoring performance, optimising performance, engaging with other accounts, responding to comments/messages.
- Publish blog posts, setup & schedule EDMS (for both direct e-comm customers, as well as business accounts/retailers
- This position is not responsible for strategy, SEO, advertising, or content - but would support the execution of them.
Big Bonus #3 - Sales / Business Development
- Experience in driving sales and business development, developing sales strategies, identifying business opportunities
