REMUNERATION: Educational Services (Schools) General Staff Award 2020+: Level 5.1 to 7.3 – Currently $67,243 - $86,546 FTE (5 days/week) PER ANNUM + SGC Super + 5 weeks annual leave

Summary
This position description describes the conditions and expectations for the Admin Officer (Finance) employed by Music Industry College.
Music Industry College is an innovative educational facility in Brisbane, offering a senior curriculum to students for the opportunity to study for their QCE in a tertiary-style environment. Our focus is to empower young people to succeed in the music industry and in life.
The Directors of Music Industry College believe that each student is unique in personality, intelligence, ability, learning style, skills and knowledge. The uniqueness of each individual attending Music Industry College needs to be identified, acknowledged, encouraged, developed and expressed within the school educational setting. It is the belief of the directors that true learning will only take place when the College staff and curriculum meets the student’s “real interest and educational needs”.
The College serves senior high school students who wish to develop and pursue their music passion within the creative industries sector. The Directors believe that by providing “real interest” integrated education students who at present struggle to see the relevance of curriculum offered at senior high school, and are in danger of not completing high school education, may be inspired to successfully complete their high school education. Music Industry College will assist students not only to creatively express themselves through live performance of music and successful music production but also provide them with an opportunity to complete Year 12, achieve their Queensland Certificate of Education, obtain an ATAR score (if required) and proceed to the industry, university, TAFE and/or the workplace.
Position Overview
The Admin Officer (Finance) will deliver services to the college and community service through assisting the Business Manager with financial compliance through data entry and record keeping. The role will ensure that all deadlines and requests are completed on time. You will be expected to operate within a team environment with teaching and administrative staff at MIC.
The Admin Officer (AO) must adhere to existing school operational requirements and report to the Business Manager or their nominated staff member where required. The AO must ensure that all services that are delivered are:
- approved by the Business Manager or Principal
- fall within the confidentially guidelines for financial &/or personnel information
Key Strategies
MIC and its Board perceive that this will be a proactive as well as a reactive role. It is our vision that through this position that appropriate support to the Business Manager will be maintained for their role to be freed up for future planning and running of the community service through compliance and strategic planning.
- Assist BM with all financial requirements through accurate record keeping and compliance in regards to financial/administrative systems operational at MIC
- Develop relationships with parents/carers/providers/institutions through positive and good communication which will contribute to the strengthening of the College
Position Responsibilities
Service Provision
- Providing financial recording – all timely data entry into Xero including invoicing, receipting & payments, assisting with journal entries, prepayments, paypal/stripe via bank statements.
- Assist with fortnightly payroll through coordination of timesheets via XeroMe, checking for accuracy and processing of any leave, increments, overtime, relief payments, bonuses approved by BM.
- Prepare all credit card statements for reconciliation making sure these balance to Xero data entry
- Identify assets purchased each month and add to Asset register for BM to reconcile for end of month. This includes labeling/naming/ID numbers for fixed assets purchased by the College before they are allocated to the appropriate classroom/studio/office
- Conduct an annual stocktake of all equipment/items in Asset Register and produce a disposals listing for sign off by BM
- Maintain and update all tuition records/payments including enrolment deposits, distribution of receipts as required and compiling a monthly aged receivables report for BM
- Preparation of banking for any cash transactions and taking cash funds to Westpac
- Administer charity accounts – movement in/out of DGR’s and assist BM with monthly reconciliation. Processing of any claims through private foundations (eg) Thelma Plum Foundation
- Assist BM with reports/records in the areas of Professional Development, Scholarships (internal and external) and welfare requests
- Creation of Google Sheets for events etc where financial records are required
- Maintain updates in Xero and be aware of any changes to the software as it arises.
- Assistance with school events either internal/external as directed by BM
- General admin duties such as record disposal, some TASS data entry when required, basic IT issues in the absence of the Systems AO or requests from BM as needed
- Attendance at major events throughout the year on a pro-rata basis
Administration
· Ensure accurate, timely and effective communication processes within the college, and with external parties/authorities.
Communications
· Accountable to the Business Manager
· Liaise with external organisations/companies, services, staff & MIC Community
Essential Requirements
- Qualifications suitable for the effective deployment of all duties required in this role. A minimum of 2 year's experience would be of benefit
- Excellent knowledge of Xero in both accounts & payroll
- Knowledge of The Alpha School System (TASS) not essential but beneficial
- Current Drivers Licence
- Current Positive Notice Blue Card issued by the Commission for Children and Young People and Child Guardian
- A minimum of two (2) current work referees
Award/Salary and Conditions
- Position is subject to a 3 month probationary period
- Work-related costs will be reimbursed as per budget guidelines
