ABOUT THE JOB
The Small Giants Academy Administration Manager will be part of the team responsible for the coordination and delivery of the Academy’s leadership programming for a more hopeful future (Mastery of Business and Empathy, Events, Deep Dives, Retreats) ensuring the highest possible standard, and embodying a philosophy of care embodied in what we call “enlightened hospitality”.
This role is responsible for a range of operational and production tasks that build the scaffolding for SGA growth and allow producers to focus more on programming, sales and partnerships related activities. :
· Contribute to and deliver on our program operations framework
· Oversee the allocation and management of organizational resources, including administrative, financial, physical, and personnel assets, to support the achievement of program objectives.
· Manage program proposals and contracting across programs
· Program operations from conception to evaluation
· Event management and supporting our community engagement
· Hosting of virtual programs
· Improve and document systems and processes within the programs team by establishing standardized administrative, financial, and operational procedures and guidelines to optimize workflow and ensure consistency across the organization
· Develop and implement strategies to streamline workflow processes and procedures, ensuring optimal use of resources and time management.
· Ensure efficient administrative operations by offering strategic support and advice to senior management, encompassing staff management, financial planning, facility management, and information services
· Assist in the preparation of comprehensive financial reports and budgets, furnishing necessary information and support to ensure accuracy and transparency.
· Implement best practice team wide systems and customisation for project management and CRM systems Asana, Salesforce, Zoom, Mighty Networks and other apps including providing onboarding training, and support to team members
· Collaborate with relevant stakeholders to identify and address any gaps or inefficiencies in Learning Management Systems (LMS) and Customer Relationship Management (CRM) platforms.
· Conduct thorough analysis of resource management issues impacting the organization, generating detailed reports, correspondence, and submissions to facilitate informed decision-making.
· Take ownership of the creation and management of templates for all learning materials, agreements, slides and contracts, ensuring consistency and efficiency in program delivery.
· Support administrative “back end” for producers through a range of key tasks across programs including managing interns for events, retreats and enlightened hospitality.
· Enhance visibility and transparency of project, task, and program statuses through project management systems.
· Onboarding of new program team members
· Lead, manage, and cultivate the professional development of administrative staff to maintain operational excellence and facilitate the timely dissemination of accurate information
· Work collaboratively with a larger team that is delivering on events and programs

· Proficiency in project management methodologies and tools, with a strong focus on Asana or similar platforms.
· Excellent analytical skills to assess complex systems and processes, identify areas for improvement, and develop effective solutions.
· Familiarity with Learning Management Systems (LMS) and Customer Relationship Management (CRM) platforms, with a willingness to learn and adapt to new technologies.
· Problem-solving mindset, with the ability to troubleshoot technical issues and propose innovative solutions.
