Overview
As an Admin Office Coordinator for our client, you will be a pivotal part of their operations team, responsible for managing claim files from commencement to completion. This role requires a proactive approach to scheduling, coordinating, and overseeing the execution of restoration projects, carpet cleaning and pest control jobs ensuring all activities meet our strict quality and time standards.
Key accountabilities/responsibilities
- Claim Management: Oversee claim files from initiation to closure, ensuring all aspects are handled efficiently.
- Scheduling: Coordinate appointments for estimators and supervisors, including managing and engaging trades during the repair process.
- Communications: Act as a primary communication liaison between clients, customers, contractors, and internal teams via phone and email.
- Reporting and Monitoring: Prepare detailed reports and project updates for weekly WIP meetings. Review and verify scope of works and costing to ensure accuracy before job allocation.
- Administrative Support: Provide comprehensive support including data entry, file management, preparing reports and invoices for insurance claims.
- Operational Compliance: Ensure adherence to operational standards and KPIs, including the timely issuance of purchase orders before trade services commence on-site.
Essential Criteria
- Proven experience in claims management, scheduling, or a similar administrative coordination role.
- Ability to handle a high volume of tasks, including claims or calls, with a high sense of urgency and accuracy.
- Desired experience in disaster restoration, although not mandatory.
- Strong problem-solving skills and the ability to manage competing demands efficiently.
- Resilience and ability to work well in a fast-paced, dynamic environment.
- Excellent multitasking skills to accommodate urgent requests within strict timeframes.
- Keen attention to detail with a proactive and team-oriented attitude.
