Our Administration & Office Support Role - Parental Leave Contract
This is an important role that needs the right person in both skillset and personality. The role sits at the centre of the business and requires a detail focus for a range of administrative tasks, an ability to build productive relationships with a range of stakeholders, and a good-natured flexibility to enjoy the variety that comes your way.
We are open to this being a casual or part-time contract that could suit a candidate that would like to work school hours over 5 days or a 3 or 4 day engagement. There is flexibility available for the right candidate.
Key Relationships & Focus
- Quickly build trusted relationships with the General Manager and Operations Manager to maintain smooth running of the business
- Able to engage with internal and external stakeholders to consistently produce the best outcomes in an efficient and professional manner
- Competent across a range of administrative tasks
- Able to work independently - at times being the only team member present in the office to deal with all enquiries
Tasks and Responsibilities
- Liase with management to ensure smooth daily operations
- Manage the admin email inbox and action items accordingly
- Triage invoices and forward to appropriate manager
- Answer office phone fielding full range of enquiries
- Accept deliveries for the business
- Log jobs into Aroflo from Operations email
- Data entry into Aroflo for daily reporting
- Create client reports for completed works, ready for issue
- Manage client job portals
- Manage staff timesheet and sign in clock - preparing weekly wage reporting for accounting
- Monthly reporting for completed Council works
- Manage invoices - aged receivables on a weekly basis
- Monitor plant registrations, toll items - Vicroads and Linkt
- Uniform orders & Inventory
- Office and Stationary supplies and orders
- Company social event planning - including Christmas party and end of year gifts for clients
Skills and Experience
- Previous experience in a similar multi-faceted admin support role
- Superior communication skills in-person, phone and via email.
- Proven ability to problem solve and calmly produce positive outcomes
- Highly developed attention to detail, to ensure accurate use of internal systems and processing of information.
- Previous experience with AroFLo or similar highly desirable
- Sound computer literacy including use of Microsoft Excel, Word
- Previous exposure to timesheet and payroll administration
- Ability to work independently and effectively manage time.
