The role
This role involves comprehensive administration duties integral to supporting the effective implementation of the Mental Health Act 2016 and Mental Health Act Administration Team. Responsibilities include managing mail, word processing, formatting, and coordinating stationary orders, photocopying, filing, and other essential tasks. You will create and maintain accurate files, including spreadsheets in SharePoint, and efficiently handle the archiving and off-site storage of hard copy records. This role requires meticulous data entry of consumer records and Mental Health Act 2016 status in the Consumer Integrated Mental Health and Addiction Application (CIMHA). Collaborating with authorized mental health services and other government agencies, the officer will engage in data review and management processes related to Mental Health Act 2016, encompassing data cleansing and Court 20 processes.
The role extends to organizing, preparing, and distributing meeting agendas, sourcing venues and facilities, managing equipment, ensuring confidential recording, minute-taking, and minute distribution. Exercise of judgment is crucial for immediate problem-solving in situations without precedents or defined procedures. Furthermore, you will prepare and maintain Human Resources documents, including forms for absences, leave requests, and professional development. Additionally, the role involves diary management, email management, and other administrative tasks for senior staff, including organizing travel arrangements upon request.
The successful person
To excel in this position, it is essential to possess familiarity with the Mental Health Act 2016 and its corresponding administrative procedures, or the capacity to swiftly acquire such knowledge. Additionally, a practical understanding of office protocols and advanced administrative skills is required, with a preference for familiarity with current systems like the Consumer Integrated Mental Health Application (CIMHA), Electronic Document and Records Management System (eDRMS), and Microsoft SharePoint.
Furthermore, the successful candidate should demonstrate the ability to efficiently manage and prioritize their workloads, adapting to shifting priorities and business requirements. Intermediate computer skills are necessary, including proficiency in utilizing office software packages such as Microsoft Word, Microsoft Excel, and database applications.
