Job description

As the Donor Administration Officer, you will provide essential administrative support to the team, overseeing the donor database, processing donations promptly and accurately, and ensuring an exceptional donor experience

Who are we looking for?

We are seeking someone who wholeheartedly embodies AnglicareSA's Vision, Purpose, and Values. Reporting directly to the Head of Philanthropy & Partnerships, this role plays a critical part in supporting various administrative and stewardship tasks within our team.

The ideal candidate must possess strong organisational skills and meticulous attention to detail, as these qualities are essential for success in this position. Effective communication skills are also crucial for engaging donors and collaborating effectively with internal stakeholders.

Previous experience in non-profit administration, fundraising, or database management would be advantageous, along with a sincere dedication to making a positive impact on our community.

What can you expect to be doing?
  • Record and maintain accurate records of all donations and communications with donors.
  • Conduct regular reconciliations between our stakeholder database and financial systems.
  • Create and maintain guidelines and training materials for optimal database usage.
  • Generate donor and financial reports as needed for internal and external stakeholders.
  • Prepare mailing lists and facilitate communications with donors to support fundraising efforts.
  • Manage records, including physical document archival, adhering to records management standards.
  • Cultivate relationships with prospective, new, and existing donors through various communication channels (phone, email, letters, SMS).
  • Assist in donor engagement and recognition initiatives across all levels of giving.
  • Respond promptly and professionally to fundraising enquiries and requests.
  • Promote a culture of communication, recognition, and collaboration among team members.
  • Foster a team-oriented and continuous learning environment.
  • This position may require occasional evening and weekend work to support donor events or fundraising campaigns.
What do you need to bring?
  • Meticulous attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Experience with CRM databases, familiarity with Salesforce preferred.
  • Ability to generate and interpret reports, extracting meaningful insights from CRM data.
  • Confident financial literacy, capable of navigating financial systems like TechOne/CIA.
  • Exceptional organizational skills, capable of managing multiple tasks efficiently under tight deadlines.
  • Demonstrated ability to handle confidential information with sensitivity and professionalism.
  • Initiative-driven mindset, prioritising tasks effectively with a proactive approach.
  • Excellent customer service skills, demonstrating strong communication and interpersonal abilities.
  • Capability to provide clear instruction and guidance to users of varying levels of experience.
  • Knowledge of Workplace Health & Safety (WH&S) practices relevant to the role.
  • Team orientated, aligned with AnglicareSA values, fostering a collaborative and supportive work environment.
