2 x part time VPS-2 positions available (0.50 FTE each)

The Business Services Group is a part of the Business and Professional Support Services Division.  Within the Group sits the Recruitment and Establishment Unit, as well as the Finance & Business Analysis Unit.

We are seeking an enthusiastic Administration Assistant to join our team. This is a busy, hands-on role where no two days are the same, the ideal candidate will be a reliable and enthusiastic person, with a positive attitude, who is willing and eager to provide support to the team.

This is a fixed term opportunity to 31/12/2024 with the possibility of an extension.  In this role you are assisting various Units within the Business Services Group, including the Recruitment Unit and the Finance & Business Analysis Unit.

As an all-rounder, this role will also require you to assist other areas of the Business Services Group, such as the Facilities Management area, when required, and to provide ad-hoc assistance to the Business Services Group Manager.

Full training will be provided with ongoing support whilst you are learning.

Being part time roles, we can offer flexibility around school hours or Uni hours/days, if required.

About the roles:

The occupier of these roles will be cross trained in both Units and the summary of duties for each unit is below:

Recruitment & Establishment Unit:

Responsible for managing the recruitment of VPS staff for the Department. Duties ranging from advertising positions, to onboarding selected candidates, as well as providing administrative activities for establishment management. 

Finance & Business Analysis Unit:

Undertakes finance related administrative functions ensuring the delivery of customer services for the Forensic Services Department are within a timely and professional manner, while remaining compliant with policy, procedures, and legislation.

Please note some activities may require elements of manual handling including accepting of deliveries, stock control and accessing power points around furniture & equipment for testing and tagging support.

Skills & Experience

To be successful in this role, you will need:

  • Ability to pick up new skills and learn new programs.
  • Keen to learn and ability to adapt.
  • The ability to prioritize workloads.
  • Work autonomously and within a team
  • Be able to communicate effectively and clearly. 
  • PC literacy with Intermediate level skills in Microsoft Word, Excel and Outlook.
  • Professional, trustworthy, and reliable.

 Requirements and relevant information:

  • Positions are located at 31 Forensic Drive Macleod, Victoria.
  • Fixed Term, part time positions available (to 31/12/2024) with the possibility of an extension.
  • The successful candidate will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • The successful candidate will be required to provide a DNA sample (buccal swab) for use in laboratory quality control procedures (elimination purposes only).
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
