Job description

To perform this role it is essential that the incumbent is an Aboriginal or Torres Strait Islander person. It is therefore a genuine occupational requirement under section 25 of the Anti-Discrimination Act 1991.

About Us?
The Institute for Urban Indigenous Health (IUIH) leads the development, planning and delivery of comprehensive primary health care for Aboriginal and Torres Strait Islander people living in South East Queensland. 

The Family Health and Wellbeing Service team’s primary purpose is the ongoing family service development and implementation of programs and models that improve the overall service delivery in the IUIH network. This diverse team supports the primary health function with services such as Legal Services, Paediatric Services IUIH Australian Nurse-Family Partnership Program (ANFPP), Birthing in Our Community and Early Childhood.

About the Role?
As an Administration Officer with the Birthing in Our Community (BiOC) South team you will provide quality customer service and administrative support to Aboriginal and Torres Strait Islander families and staff of the BiOC South team to ensure the effective daily operation of the BiOC South Program including customer service via all channels, receiving, and managing referrals, supporting data systems, assistance with management of data and production of management reports. 

  • Ensure Reception team are following defined booking procedures
  • Coordinate room bookings on behalf of Program Manager
  • Monitor billing patterns and raise any concerns with BIOC Manager this would sit with the medical reception position
  • Conduct regular reviews of calendars to ensure billing opportunities have been maximised this would sit with medical reception also
  • Manage the provision of a professional, courteous and safe transportation of IUIH clients and medical courier services as required
  • Implement practices to achieve high booking and attendance rates for multi-disciplinary service provider appointments
  • Contribute to the development and ongoing refinement of referral and follow-up pathways between local clinics and Multi-disciplinary service providers
  • Support Medical Reception where needed to Maximise all billing opportunities for all appointments – i.e. MBS, CCSS, Workcover
  • Coordinate the patient flow for all on-site service providers
  • Monitor referral and recall system for Multi-disciplinary service providers to ensure patient’s continuity of care is maintained
  • Check eligibilities and ensure referrals are in place for clients accessing multi-disciplinary services
  • Coordinate patient registrations and maintain patient contact details
  • Meet and greet clients and visitors to the clinic and the provision of a high standard of customer service
  • Maintain accurate and up-to-date medical documents and manage records routinely
  • Provide general admin support to the Clinic Team including photocopying, compilation of materials/folders, preparation for program activities

About You?

Essentials:

  • Previous experience in an administrative role within the Healthcare industry 
  • Current QLD Drivers Licence 
  • Valid Blue Card and Disability Worker Screening Check (Must have prior to commencement)
  • Current Criminal History Check
  • Current CPR and First Aid Certificate 
  • Understanding of Quality Assurance processes (AGPAL, QIP, ISO)
  • Demonstrated ability to communicate, engage effectively and work together, with Aboriginal and Torres Strait Islander peoples
  • Ability to work as part of a multi-disciplinary team and actively contribute to the team.
  • Effective interpersonal skills with a focus on client focused outcomes

Desirable, but not mandatory:

  • Previous experience working with Aboriginal and Torres Strait Islander people and /or communities.
