Invigorate Ability is a disability support provider dedicated to empowering individuals to live fulfilling lives. We are seeking a motivated and dynamic Administrative Assistant to support our team with tasks such as rostering, answering calls, communicating with the support team, and managing emails.

As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our organisation and providing essential administrative support to our dedicated team of support workers. This is a fantastic opportunity to contribute to a mission-driven organisation and make a positive impact in the disability sector.

Key Responsibilities:

  • Assist with rostering and scheduling support workers.
  • Answer phone calls and respond to enquiries from participants, support workers, and external stakeholders.
  • Communicate effectively with the support team to ensure timely and accurate delivery of services.
  • Manage emails and correspondence, including drafting and sending messages on behalf of the organisation.
  • Maintain accurate records and documentation related to administrative tasks.
  • Prepare invoices and assist with the processing of employee payroll.
  • Pay invoices for business expenses in a timely manner.
  • Provide specialised advice and information on the organisation’s products and services.
  • Use computer software to manage tasks and implement new processes where required.
  • Organise internal meetings and manage related logistics.

Requirements:

  • Proven experience in an administrative role, preferably in the disability or healthcare sector.
  • Excellent communication and interpersonal skills.
  • Strong organisational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work effectively both independently and as part of a team.
  • Compassionate and empathetic attitude towards individuals with disabilities.
  • Experience with payroll processing and invoice management is a plus!
