Job Description:
As an Administrative Assistant at Zetifi, you will play a crucial role in supporting our office operations, ensuring smooth and efficient business practices. Your responsibilities will include managing day-to-day office tasks, supporting company events and travel arrangements, maintaining office and workshop supplies and procurement requests, and providing overflow support to our accounts and customer service teams.
Key Responsibilities:
Manage daily office operations and serve as the first point of contact for internal and external queries.
Assist in organising meetings, company events, and travel arrangements to ensure seamless logistics.
Maintain inventory of office and workshop supplies, including processing R&D procurement requests.
Prepare and edit documents including correspondence, minutes, communications, and presentations.
Maintain and update contact information for employees, customers, suppliers, and external partners.
Support the preparation and completion of regular reports to assist management in decision-making.
Accounts payable invoice posting and payment processing.
Manage petty cash and corporate card expense claims.
Qualifications:
Proven experience as an Administrative Assistant or similar role.
Strong knowledge of office management systems and procedures.
Proficiency in MS Office, especially Excel, Word, and PowerPoint.
Exceptional organisational and planning skills.
Excellent written and verbal communication abilities.
Attention to detail and a high level of accuracy in all tasks.
HSC or equivalent required; Cert III in Office Administration or Information Technology is desirable.
