ABOUT THE ROLE:
Reporting to the Executive Assistant to our Managing Director, you will play a crucial role in maintaining the smooth operation of our Sydney office. This role will involve assisting team managers, coordinating business processes, and delivering exceptional customer service to visitors and callers.
Specifically in this role, you’ll:
- Assist in ensuring the smooth operation of office facilities and management of office supplies.
- Support team managers by assisting with administrative tasks and compiling reports for internal management and clients.
- Provide input for improving and coordinating key business processes.
- Undertake office administration tasks as assigned by the manager.
- Greet visitors and direct them to appropriate meeting points
- Arrange catering and refreshments for guests and meetings
- Answer incoming calls and transfer them to relevant areas
- Manage incoming and outgoing mail, packages and courier deliveries
- Maintain tidy and organised shared areas
- Assist with scheduling appointments and coordinating meetings
- Provide general administrative support such as data entry and filing
- Arrange travel and accommodations.
WHAT WE'RE LOOKING FOR:
Ideally, you’ll have:
- Previous experience in customer service, clerical or receptionist type role
- Experience with basic office administrative tasks such as filing, scanning and document management
- Excellent communication skills, both verbal and written.
- Strong interpersonal skills and the ability to interact professionally with colleagues, clients, and visitors.
- Attention to detail and accuracy in tasks such as data entry and document preparation.
- Organisational skills and the ability to prioritise tasks effectively.
- Problem-solving skills to address routine administrative challenges.
- Time management skills to meet deadlines and manage workload efficiently
