Key Responsibilities:
Assisting Managers:
- Provide comprehensive assistance to managers, supporting them in various tasks and projects.
- Collaborate with different departments to ensure smooth workflow.
CRM System Management:
- Update and maintain the Customer Relationship Management (CRM) system.
- Ensure accurate and timely input of client information and interactions.
Phone Communication:
- Handle incoming phone calls during business hours, addressing inquiries and redirecting calls as necessary.
- Maintain professional and courteous communication with clients and internal stakeholders.
Marketing and Promotional Support:
- Assist in the coordination and execution of marketing initiatives and promotional events.
- Collaborate with the marketing team to create materials and contribute to outreach efforts.
Proactive Task Management:
- Take initiative in identifying areas for improvement and streamlining administrative processes.
- Demonstrate proactive problem-solving and decision-making skills.
Computer Skills:
- Utilize strong computer skills for various administrative tasks, including document preparation, data entry, and email communication.
- Proficiency in Microsoft Office suite and other relevant software.
Client Records Management:
- Maintain accurate and up-to-date client records in compliance with NDIS guidelines.
- Ensure confidentiality and security of sensitive client information.
Appointment Scheduling:
- Coordinate and schedule appointments for clients and support staff.
- Manage calendars and liaise with internal teams to optimise scheduling efficiency.
Documentation and Reporting:
- Prepare and review documentation related to NDIS services and support plans.
- Generate reports as required by management, ensuring accuracy and completeness.
Communication and Coordination:
- Facilitate communication between clients, caregivers, and internal teams.
- Act as a liaison with external stakeholders and agencies to coordinate services effectively.
Office Support:
- Provide general administrative support to the Expert Care Services team.
- Assist with filing, data entry, and other clerical tasks.
Compliance and Quality Assurance:
- Ensure adherence to NDIS standards and regulations in all administrative processes.
- Participate in quality assurance activities to uphold service excellence.
Qualifications and Skills:
- Proven experience as an Administrative Assistant or in a similar role.
- Familiarity with CRM systems and database management.
- Excellent communication skills and the ability to handle phone calls professionally.
- Strong organisational skills with a proactive and detail-oriented approach.
- Ability to collaborate effectively with cross-functional teams.
- Experience or interest in marketing and event coordination.
- Proficient in typing and general computer skills.
- Proven experience as an Administrative Assistant or in a similar role.
- Familiarity with the National Disability Insurance Scheme (NDIS) and disability services is highly desirable.
- Excellent organisational and multitasking abilities.
- Strong attention to detail and accuracy in data management.
- Effective communication skills, both written and verbal.
