The Role
Join our team as a dedicated Administrative Assistant (Wellbeing) and become a vital part of the College's wellbeing team. In this pivotal role, you will work closely with the Director of Senior School (Student Wellbeing). If you are organized, detail-oriented, and passionate about student wellbeing, we encourage you to apply.
Key Responsibilities:
- Work with the Wellbeing Team, Tutors, and Student Services staff to provide administrative and clerical support.
- Organize and maintain pastoral information, including detention lists, Wellbeing meetings, and student recognitions. Managing venue bookings, catering, seating plans, and guest speakers.
- Support Wellbeing events such as assemblies, Eucharists, house events, guidance counseling, and Year 12 activities.
- Handle clerical duties such as inquiries, proofreading, collating, photocopying, and maintaining the Director's calendar and schedules.
- Assist with student attendance through SEQTA and liaise with relevant departments regarding student whereabouts.
- Act as the first point of contact for inquiries from parents, teachers, and students, and manage activities related to Senior School absentees to meet compliance requirements.
About You
The role of Administrative Assistant (Wellbeing) requires strong organizational, administrative, and clerical skills, along with effective event coordination, communication, and collaboration abilities, ensuring comprehensive support for student wellbeing and compliance with institutional requirements.
Essential criteria include:
- Ability to effectively communicate with students, parents, teachers, and staff, ensuring clear and respectful exchanges.
- Proficiency in using Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, to perform various administrative tasks efficiently.
- Meticulous approach to work, ensuring accuracy in all tasks, from data entry to document preparation and event coordination.
- Proven ability to manage multiple tasks, prioritize responsibilities, and maintain an organized workflow in a busy environment
Highly Desirable criteria include:
- Familiarity with the operations and dynamics of a school environment, enhancing the ability to support staff and students effectively.
- Experience with SEQTA, specifically in managing attendance records, to ensure accurate and timely tracking of student attendance.
- Skills in connecting with and understanding the needs of secondary school students, fostering a supportive and empathetic environment.
