Responsibilities
- Receive and forward communications to different staff, departments and customers.
- Coordinate with other departments to allocate and schedule workload to maintenance staff.
- Coordinate with other departments to allocate stock items to maintenance staff.
- Monitor maintenance activities according to quality and company standards.
- Monitor and provide service reports to customers at a high standard.
- Coordinate with other departments to create quotes, invoices, leads, jobs and contract jobs.
- Provide assistance to staff, managers, and senior-level officers as needed.
- Create, prepare, and deliver reports to various departments and department managers, including director.
- Address and resolve any issues or complaints.
- Organize meetings and meeting schedules for each department, ensuring conference rooms, equipment demonstration rooms, and other meeting spaces are prepared prior to use.
- Perform clerical duties, such as filing, organizing, answering phone calls, and responding to emails.
- Coordinate with other departments to handle payroll and personnel databases, process invoices, make payments and track receipts.
- Monitor and manage expenses within the budgetary guidelines.
- Purchase and maintain office equipment and supplies.
- Review, revise and implement workplace procedures and policies to improve operational efficiency and objectives, including customer service and client relationships.
Qualifications
- Seeking Experienced Applicants, Applicants with an understanding of Distribution and Service Based Business Preferred.
- Associate's degree in office administration may be preferred.
- Strong Attention to Detail.
- High level of experience with productivity tools, such as Microsoft Office Suite, Microsoft Outlook and the ability to learn new systems quickly and precisely.
- Highly organized and able to create an organized and easy-to-follow system for others.
- Ability to work autonomously, take on tasks without direction, handle multiple tasks and duties simultaneously while under pressure.
- Strong communication skills with an aptitude for customer service and professionalism.
- The ability to follow and create procedures to increase business operational efficiencies.
- Strong data entry and reporting skills.
