Scheduling Coordinator (Full Time)

A vacancy exists for an experienced Scheduling/Rostering Coordinator to join our Head Office based in Southport.  The position is full time, Monday - Friday, 8.00am to 4.06pm. 

This position is a busy role, ensuring that the Master Roster is accurate and published in advance as well as covering short notice cancellations, one off services, emergency services, whilst providing exceptional customer service to both our clients and our employees. 

Here at CCHC, we roster a little differently!  We are all about client centred care, so we establish a team around a client and use those selected team members to fill shifts for that client!

A snapshot of your role:

  • Utilising software to coordinate and schedule client services, ensuring continuity of care. 
  • Identify and contact suitable staff to cover short-term, one-off and emergency vacant services.
  • Ensure rosters are up to date and organised in advance for both independent contractor and employees. 
  • Liaise with the clients and Client Manager's using creative problem solving skills. 
  • Communicate roster changes to clients, managers, direct staff and their carers if required.
  • Responding to the Scheduling Coordinator's phone including text messages, triaging and resolving queries.
  • Ensure staff have the relevant qualifications for the clients they are assigned to and organise training with the Clinical Nurse if training is required. 
  • Ongoing monitoring and nurturing of a team culture that focuses on customer service.
  • Assist the client managers and senior managers when time permits with administrative tasks
  • Participate in the On Call service every 4-6 weeks, which you will be paid the on call allowance

Our ideal candidate

To be considered for this opportunity ideally you must meet the following criteria:

  • A positive, respectful and solution focused attitude especially when managing competing priorities.
  • Exceptional Customer Service experience  
  • Solid experience in scheduling client services 
  • Experience working in the community disability and/or aged care sector.
  • Experience using TRACCS (highly desirable)
  • Advanced computer skills in Microsoft Office 365, and/or experience using a Rostering system 
  • Excellent communication skills and exceptional attention to detail.
  • Ability to show initiative, enjoy working independently and in a team environment.
  • Well developed strong problem-solving skills with lateral thinking.
  • Knowledge of the SCHADS and Nurses Awards would be advantageous
  • A team player who is happy to pitch in to support the bigger team when required.
