Job description

Position purpose:

The purpose of the Admissions Manager is to provide input on admissions processes, ensure that all course entry related documents go through a quality assurance process stage before a student is enrolled in the course.

Selection Criteria:

  • Minimum 3 to 5 year’s management experience working in VET sector
  • Ability to fully understand VET compliance and regulatory requirements, mainly Standards for Registered Training Organisation 2015 and National Code 2018
  • Ability to organise, prioritise and illustrate time management 
  • Self-motivated and able to work independently
  • Excellent written communication skills including accurate spelling and grammar
  • Flexibility and adaptability in servicing the needs of diverse markets
  • Ability to work in a team environment and to be receptive to change
  • Ability to deliver excellent customer service to both clients and staff
  • Ability to manage staff including recruitment, induction and training of admin and academic staff 

Qualifications, Skills and Attributes:

  • Qualifications in VET (mainly business, administration or management courses preferred)
  • Experience in a VET Registered Training Organisation management role
  • Experience with students in a Registered Training Organisation
  • Comprehensive knowledge of VET training market highly regarded
  • An understanding of ASQA (Australian Skills Quality Authority) compliance and quality issues
  • Computer literate with knowledge of word processing, spreadsheets and database

Duties/ Responsibilities:

  • Receive, process update and secure all student related information including student folders, course entry documents, student enrolment forms/details, Letter of Offer (LOO), Invoices, COE, copy of passport information, visa related information, any assessment/academic paperwork, student personal details including address, and contact details and the student’s signature. 
  • Perform compliance check on all course entry related documents that includes, New Student Application Form, High School Certificate, English Language Evidence, Passport, and any other documents that student may provide as part of admissions process.
  • Generate Letter of Offer for new students.
  • In liaison with the college Academic Manager create Confirmation of Enrolment (COE) through PRISMS system.
  • Correctly enter all student details into the student database. 
  • Responsible to handle incoming phone inquiries
  • Response to students in reception area
  • Provide Student ID number and card to students.
  • Course change request (course deferment, extension): Collecting request form and supporting documents, issuing new offer letter, receiving offer acceptance and payments (if applicable) and pass them to CEO to review and issue new COE.
  • Informing academic progress/results to students and agents.
  • Managing list of students with English condition, updating database and providing this list mainly to SSO and Marketing Managers for each intake.
  • Secure the Student Admin File and its contents in the student filing cabinets.
  • Input relevant Student admissions related data into the student database, including Student Leave, change of class, change of course, course finishing. 
  • Communicating with agent via email or phone calls regarding processes of agent agreement and student enrolment, providing college information such as course price and intake dates.
  • Receiving agent application / Processing reference checks / Creating agent agreement and getting signatures / Filing and saving it into agent folder
  • Creating & Updating ASQA Declaration form (Third Party Service Arrangement notification)
  • Responding to emails through the college home page
  • Receive requests from students to issue Certificate and/or Statements of Attainment on completion or within 30 days after student completing a course whichever comes first.
  • Participate in Student Orientation day program with the College Academic Manager and other Admin or Academic staffs.
  • Process Starters list for new students.
  • Maintain a neat and clean student services reception area.
  • Assist marketing in dealing with agents and or students during the admissions process.
  • Assist marketing in promoting and organising student events, excursions and agent visits.
  • Assist marketing and the college Academic Manager in maintaining up-to-date agent list on PRISMS, ASQA Net and the college website.
  • Engage with students to identify issues and advise them on related matters such as Enrolment processes, choice of courses, Course variation, graduation procedures, College and Company rules, attendance and course progress.
  • Help students with Unique Student Identifier (USI) accounts.
  • Create student account in e-learning platform and provide them with their e-learning account details.
  • Setup and help students with their printing accounts.
  • Assist students with problem solving for personal issues which could affect attendance or course progress.
  • Refer students to the college Academic Manager or Academic Coordinator as appropriate.
  • On receiving a Leave of Absence Request for course study deferment ensure that the student is aware of the College’s appeals process.
  • Ensure that the student is advised to contact the office of Department of Home Affairs so that they are informed as to the impact of their deferment or leave on their existing student visa.
  • Ensure that the student is aware that they may access College’s internal appeals process and independent adjudicator when appropriate.
  • In liaison with the college Academic Manager release a student from PRISMS only after the student has provided a letter indicating a valid enrolment offer from another registered provider and the college overdue fees are paid.
  • Perform student database and PRISMS data reconciliation as per the college policy.
  • Perform student admin file archiving process as per the college policy.
  • Participate in internal and external compliance audit.
  • Perform any other duties as is requested by the college CEO/Line Manager 

Reporting

  • Reporting and accountability to the college CEO/Line Manager
