  • To provide Facilities Management (FM) services across multiple industrial properties within various states / territories.
  • Overall management of all matters relating to FM operations, risk, and compliance.
  • Overall responsibility and accountability for the FM team and contractors regarding their delivery of service.
  • Implement and utilise the company’s FM platform to engage FM contractors, technicians, and site operational teams.
  • Establish and implement Planned Scheduled Maintenance Program using the company FM platform.
  • Monitor and manage FM contractor works and activities, to ensure all works are satisfactorily and safely completed so as to minimise disruption to occupants and operators.
  • Lead the procurement of property specific services and contracts for sites under FM management, in accordance with company procurement guidelines.
  • Point of call for site-specific technical and maintenance advice, supporting on site operational, safety, asset protection.
  • Foster environmentally friendly practices and behaviours to support our sustainability strategy.
  • Forecast and manage operating and capital equipment lifecycle planning and budgets.
  • Liaise with operational team to ensure that planned maintenance can be carried out based on current operational activities.
  • Support Corporate Real Estate team’s portfolio asset lifecycle planning.
  • Project management of minor projects as required.
  • Working with a passionate and supportive leadership team, time will be spent building relationships and creating engagement.
  • Work collaboratively with all stakeholders enabling professional and timely communication.
  • Will add direct support staff as required.
  • Implement and manage the DHL Facilities Management strategy and program progressively up to 17 sites and 65,000 m2 in Australia across 4 states and territories.
  • Some travel required.
Base location: Sydney preferred.Your tasks:
  • Provide facilities management (FM) services and support to specific business area(s) of medium scale/ complexity e.g. a cluster of properties or cross-business. Ensure FM CRE service delivery, process improvement, change implementation ensuring positive business impact of CRE within own area / cluster of properties.
  • Build relationships and create engagement within the company, landlords and with vendors/contractors.
  • Implementation and ongoing management of FM services and processes to ensure:
  • Safe and suitable working environment is maintained for employees and their activities.
  • Properties meet environmental, health and safety requirements.
  • Company and landlords meet own obligations under lease agreements.
  • Management of any landlord relationships, third suppliers and contractors
  • Management of budgets and forecasting of planned capital works
  • Compliance to local, state, and federal HSE (Health Safety and Environmental) requirements and regulations.
  • Areas of assets and FM services have appropriate standard operating procedures, preventative and reactive maintenance procedures in place and managed in a timely and efficient manner.
  • Management and accountability for the financial performance for sites under FM management.
  • Capital works and preventative maintenance planning is forecasted, budgeted and managed.
  • The team have systems and regular reporting in place to plan and manage operational and capital costs.
  • Implementation and management of service level agreements and the regular reviews against key performance criteria for third party service providers (inline with company’s procurement processes).
  • Financial control and management of financial performance within a project or cluster of properties. Regular review and reporting of FM spend against forecast.
  • Regular internal property condition reports and audits are performed and documented for each property with risks and activities prioritised and costs identified.
  • Manage the implementation and operational use of the FM software management system and online tools deployed by the company (DHL Group).
  • Application of best practice FM and energy conservation practices.
  • Management of emergency and planned FM works, minor projects / processes, working independently with limited supervision.
  • Defines the project scope-based works on required timescales, resource and budget availability and with consideration to project challenges and risks
  • Project planning to ensure smooth operational delivery. Manages project plans including estimates of critical path, budget and resources needed for target achievement. Monitor and respond appropriately to emergencies or urgent issues as they arise and deal with the escalations.
  • Support implementation of plans for best allocation and utilisation of space and resources for new buildings or re-organising of current premises.
  • Support Business Units and CRE FM as required with implementation of facilities management plans and processes for essential soft services such as security, cleaning, waste management and recycling.
  • Working with the CRE team, procurement, third parties and internal business units to implement new technologies, identify cost savings opportunities, manage initiatives and identify opportunities related to energy-related capital projects.
  • Support CRE Oceania to incorporate sustainability practices and set guidelines or benchmarks for CRE’s Facilities environmental impact.
  • Identify and implement sustainable products, processes, best practices and technologies, to support company’s goals of reducing energy and water consumption, improving asset lifecycle management and for managing the environmental impact of the real estate portfolio across the cluster of properties.
  • Support the planning and execution for any climate change resilience planning and risk management regarding natural disaster events within your cluster.
Your profile:Education Level
  • Relevant Bachelor’s Degree or equivalent experience/qualification
(Relevant College Certificate or equivalent experience/qualification is acceptable provided coming in with extensive years of relevant years of working experience)
  • Desirable Facility Management/Real Estate Certificate
Experience Level
  • 5-7 years of relevant experience of facilities management, in an industrial property environment
  • Minimum of 3 years of direct responsibility managing staff
  • Experience with Planon FM software or similar
