We are seeking a highly organised and detail-oriented individual to join our team as a Board and Committee Assistant. The successful candidate will play a crucial role in supporting the effective functioning of our board of directors and various committees. This position offers an excellent opportunity for someone who is passionate about administrative support and interested in gaining exposure to governance processes within a dynamic organisation.
Job Overview:
As a Board and Committee Assistant at Polytechnic Institute Australia, you will play a crucial role in shaping our organisational governance processes. Reporting to the CEO, you will be responsible for a wide range of governance functions, including but not limited to:
- Collaborating with the Boards and Committees secretaries to coordinate and schedule Board and Committee meetings, including preparing agendas and distributing meeting materials in a timely manner.
- Attend meetings, record minutes, and accurately document key discussions, decisions, and action items.
- Assist with the preparation of Board and Committee reports, presentations, and other materials as needed.
- Maintain comprehensive and up-to-date records of Board and Committee activities, including membership lists, terms of reference, actions and resolutions and meeting minutes.
- Liaise with board members, committee chairs, and external stakeholders to facilitate communication and ensure effective collaboration.
- Assist with special projects and initiatives as assigned by CEO or Institute leadership.
- Writing and editing the Institute internal News sites.
- Ensuring all Boards and Committee have up-to-date skill matrix.
- Coordination the completion of action items.
- Support the CEO in writing reports.
- Create Templates
- Other administrative and secretarial items as request by the CEO.
Qualifications:
- Bachelor's degree or equivalent experience in business administration, public administration, or a related field.
- Previous experience providing administrative support to boards, committees, or senior executives preferred.
- Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
- Excellent written and verbal communication skills, with meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
- Ability to maintain confidentiality and exercise discretion when dealing with sensitive information.
- Demonstrated ability to work independently as well as collaboratively within a team environment.
You will also have:
- MUST have Australian Higher Education Governance experience.
- Demonstrated high-level writing skills, adaptable across various purposes, audiences, and styles.
- Ability to manage multiple projects and deadlines with strong attention to detail.
- High-level judgment and discretion in dealing with sensitive and confidential matters.
