To provide efficient, high-level business, program and administrative support to the Coordinator Youth Engagement & Pathway and broader Youth Engagement & Pathway Unit.

What you’ll be doing:

  • Provide direct administrative support and assistance to the Youth Coordinator
  • Support the Coordinator Youth Engagement & Pathways to deliver strategic projects, reports, discussion papers and plans.
  • Support the Youth Services Team to ensure effective and efficient day-to-day administration and operational processes including general correspondence, meeting minutes, purchasing, invoicing, and document management.
  • Organise the provision of information and resources to the community, service providers and schools on activities and programs delivered by Youth Services.
  • To provide customer service, counter and telephone enquires relevant to the Youth Services Unit.
  • Assist with the communication and administrative aspects of customer service requests, complaints, general enquiries, and transactions (where appropriate).
  • Respond to telephone enquiries for the tenants and community users at all four Youth Centre facilities across the municipality to support community need.
  • Ensure that information provided to internal and external stakeholders are current, accurate and provided in a professional and helpful manner.
  • To operate and oversee the booking systems for the Youth Centres including Youth Central, Sunbury Young Centre, Roxburgh Park Youth Centre, and Craigieburn Youth Centre; and run regular booking reports.
  • Effectively utilise Councils systems and software to produce accurate reports, correspondence, charts, and other documents as required for the Unit within set timeframes.

The skills and experience you’ll bring to the role:

  • Demonstrated ability in using MS Office computer products, and the ability to access and interpret databases.
  • Office organisation skills, including the capacity to develop and maintain purchasing processes, and other procedures and systems.
  • Ability to identify customer needs and expectations, decide the appropriate action and respond accordingly.
  • Customer service skills including the ability to deal with challenging people and resolving conflict situations.
  • Ability to liaise with and gain cooperation from internal and external program stakeholders including counterparts in other organisations to resolve issues.
  • Excellent written and verbal communication skills, which include gaining co-operation from internal and external customers from broad and diverse backgrounds, age groups and cultures.
