Role Overview
The Business Support Officer is responsible for providing professional and accurate administration support to both internal stakeholders and customers. The incumbent will be adept in navigating all systems employed by EnerSys and will synthesize their systems and process understanding with various business requirements.
Main Responsibilities• Administration
o Provide effective administration to Operations whilst meeting advised deadlines.
o Create and maintain administration systems and procedures for all facets of your role, maintaining and updating them as changes occur, such that the administration function can run smoothly in your absence based on current procedures.
o Ensure activities are carried out efficiently and effectively, measured by outcomes and time invested.
o Display accuracy and attention to detail in all aspects of the role.
o Provide relief reception during peak times and staff leave.
o Assist with project based work and other duties as required.
• Systems
o Create and maintain Projects within Pronto & FourthShift, including the management of budgets, variations, sales orders, purchase orders, forecasting, cost bookings, stock management.
o Liaise with Operations staff on new and changed information affecting orders.
o Ensure anomalies and concerns are escalated and resolved without delay.
o Ensure systems and procedures are followed for all matters affecting production and administration.
o Adhere to processes and workflows implemented within EnerSys nominated systems such as SharePoint, Salesforce, MS Office, Smartsheet, etc.
• General
o Ensure anomalies and concerns are escalated and resolved without delay.
o Maintain regular consistent and professional attendance, punctuality, personal appearance, and a pleasant, confident phone manner.
o Display a friendly, consistent, and helpful manner, always displaying a professional appearance and manner.
o Use your initiative and make constructive suggestions that improve our operational or financial performance (faster, better, cheaper ways of doing things)
o Contribute to building a successful team environment.
o Promote the company brand.
• VCE or equivalent experience and training
• Minimum 5 years experience working in a general Administration role under minimal supervision
• Experience using an industrial order management system
• Basic/Advanced skills in: Problem solving, Organisation, Communication & interpersonal skills, and Computer literacy - Microsoft Office / Windows environment. Competency in MS Excel is required.
• Ability to prioritise workload
• Ability to work as part of a team, with or without supervision
• Qualification(s) in areas such as Customer Service or Administration.
• Demonstrated commitment to reliability and punctuality
• Honest, reliable, pro-active approach with maturity and a strong sense of responsibility
• Self-motivated with the ability to use initiative and work independently, yet collaboratively with a team
