We are seeking a diligent and detail-oriented individual to join our team as a Project Administration and General Administration Officer in our Fortitude Valley office on a part-time basis, three days per week. The successful candidate will play a pivotal role in ensuring the smooth operation of projects within the Place and Environment Division and providing general administrative support to our dynamic team.
What you will be doing
Project Administration:
- Ensure accurate setup of projects in D365 according to contract terms, including validation of contracts and budget allocation.
- Timely submission and verification of timesheets, as well as coordination of leave entries in HR systems.
- Assist in the monthly invoicing process, including preparation of Statutory Declarations, timesheets, and reports.
- Liaise with RPS Finance team to support proper and timely management of projects.
- Support monthly project performance reviews, analysis, and reconciliations.
- Aid in preparing weekly and monthly reports for the P&E Division and associated Business Units.
- Assist in monthly forecasting and reporting processes as required.
- Provide support to client teams and projects when necessary.
General Administration:
- Support the development, implementation, and operation of new systems and processes within the P&E Division.
- Coordinate arrangements for high-level project meetings, including room bookings and equipment setup.
- Handle general document control and formatting tasks.
- Manage archiving, including dispatch and retrieval of documents.
- Assist in conference and event bookings/representation.
- Perform general administrative duties as directed, including catering and travel bookings.
- Facilitate site mobilisation/demobilisation activities, including training, medicals, and registrations.
- Provide reception coverage during breaks and other duties as required.
Who you are
Education and Experience:
- Minimum of 3-5 years' experience in a similar project support or corporate position.
- Experience in project controls role, supporting teams in project setup, tracking, reporting, invoicing, and forecasting.
- Intermediate commercial skills with supplier, invoice, and contract management.
- Intermediate to advanced proficiency in Microsoft Office suite (Word, Excel, and Adobe), database, and financial management systems.
- Ability to work at a fast pace, managing multiple activities while maintaining composure.
- Demonstrated ability to produce quality and accurate work.
- High levels of initiative and ability to work autonomously with minimal direction.

- High attention to detail and commitment to maintaining quality standards.
- Willingness to learn new systems and develop new skills.
- Strong organisational skills and ability to prioritise competing demands under pressure.
