The Opportunity:
In this varied role you will be responsible for managing the annual general meetings (AGMs) for a number of ASX listed clients within the share registry. You will get to make the most of your exceptional organisational skills and Client Relationship skills as you juggle multiple responsibilities, including:
- Identify and book upcoming meetings; including research, site visits, finding resources to assist the event
- In conjunction with the Client Services Managers, contact the key decision makers for AGMs with the objective of confirming key AGM dates, and communicating the benefits associated with outsourcing the management of the AGM process
- Assist all clients and Client Services Managers in the development of the Notice of Meeting and Proxy forms
- Co-ordinate the mailing process associated with meeting notification and proxy documentation to shareholders at least 31 days before the shareholder meeting.
- On request provide the client Proxy reports
We are seeking individuals with exceptional organisational skills. You will have experience with the coordination and attendance of multiple professional / Corporate Events. Ideally this will cover Annual General Meetings (AGMs) or board meetings for ASX listed businesses, with an understanding of AGM requirements, proxy forms, notice of meetings, etc.
This may have come from a similar share registry background, or alternately you may currently be working as an Events Manager / Personal Assistant (PA) / Team Assistant / Legal Assistant with exposure to corporate meetings / events, ready for a change of path.
Above all, you will be highly organised and capable of prioritising and juggling multiple projects at any one time. Your attention to detail will be second to none, and your communication skills will be impeccable. You will be intermediate with Microsoft Office, specifically Word and Excel.
