The role
The role of the Client Services Administrator is to offer administrative support to the business services team, ensuring smooth operations and efficient client service delivery. They are tasked with managing partner and client expectations, as well as prioritising workflow. This includes timely handling of correspondence and effective management of deadlines to ensure the client-first focus is maintained throughout the entire service experience.
Accountabilities
- Provide direct administrative support to the Partner.
- Assist the wider accounting team with various administrative tasks.
- Prepare Financial & Tax Return packages and manage Corporate Secretarial duties.
- Generate associated letters and invoices using the firm’s software & document management systems.
- Manage communications with clients, government agencies, and suppliers.
- Maintain databases across various platforms.
- Provide reception relief when needed.
- Produce day-to-day client correspondence with utmost attention to detail.
- Support Business Services team members and Partners in delivering exceptional Client Services.
- Collaborate with the team to meet work deadlines and client expectations.
- Demonstrate professional communication skills in all interactions, verbal and written.
- Prioritise tasks to ensure timely completion of all responsibilities.
- Ensure accuracy in completing the establishment process for companies, trusts, and super funds.
- Order and set up companies, trusts, and super funds through designated agencies, ensuring review and approval by the Corp Sec team and Partner before submission.
- Develop and maintain client files and practice management software (MYOBAE), CRM, and data storage systems.
- Uphold governance, quality control systems, and risk management standards within the firm.
- Manage ABR and ATO Portal access.
- Foster a culture of continuous improvement within the team, recognising its importance as a business differentiator.
About you
- You will have substantial administration experience in accounting or executive assistant roles.
- Proficiency in various software applications, particularly advanced MS Office skills, and familiarity with database management.
- Excellent communication skills, encompassing both written and verbal abilities, to effectively document and communicate detailed information, conclusions, and recommendations to clients.
- Proven ability to develop and maintain strong relationships with client management, fostering trust and facilitating transparent communication.
- Strong knowledge and expertise in the Microsoft Office suite products.
