The Opportunity
We are currently looking for a Client Services Assistant to join our Sydney office on a full time, permanent basis. The Client Services Assistant provides a seamless guest experience to our clients (both internally and externally), as well as ensuring that office facilities run smoothly and professionally.
Key reception responsibilities:
- Prompt response of all incoming reception calls; manage the Sydney reception inbox and diary
- Greeting clients, receipt of deliveries and arranging couriers and mail services
- Scheduling meeting rooms; ensuring meeting rooms are neat, tidy and well stocked
- Food and beverage provisions for room bookings
- Assisting with office events
- Providing overflow support to Melbourne and Perth front of house where required
- Point of contact for guest movements and inter-office travellers which involves booing desks and arranging access passes
- Working alongside the HR team to ensure smooth onboarding of new staff - assisting to arrange IT equipment kit, locker allocation, induction timetables, business cards, building access key and introductions to teams
- Provide training to all new staff regarding Building and Office Services
- Point of contact for Building Management
- Assist the Workplace Manager with office projects
- Ensure that facilities are maintained and well-equipped
- Ordering and maintenance of office equipment; ordering of business cards
- Assist in the coordination of the office's Workplace Health and Safety obligations
- Assist in the ongoing management of services including air-conditioning, heating, lighting, cleaning and waste removal, secure bin
- Processing of facilities invoices
To be considered for the role, you will have:
- Exceptional organisational, time-management and administrative skills
- Experience handling "cold calls" with skill, professionalism and efficiency
- The ability to work well in a team environment and with limited supervision
- An ability to build relationships quickly with a wide range of people, with the confidence to work with senior people across the firm
- A calm and methodical approach
- Work Rights: Valid Right to Work for the country you are applying in. Visa sponsorship is not available for this position.
