Reporting to: Operations Manager
As a Clinical Support Officer, you will play a vital role in coordinating patient flow within our institute. Reporting to the Operations Manager, you will be responsible for managing patient bookings, referrals, and general coordination of clinical practices, primarily focusing on the Institute Director/CEO and Head, Molecular Cardiology.
In particular, the Clinical Support Officer will:
- coordinate patient visits, billing, referrals, and overall clinical practice management for designated executives.
- build and maintain positive relationships with internal and external stakeholders.
- collaborate with the Administration and Operations teams to achieve agreed outcomes in line with the Institute's Strategic Plan.
Medical Administration
- Schedule patient visits, manage billing, referrals, and general coordination of clinical practices.
- Greet patients, update contact information, process payments, and manage patient correspondence.
- Maintain accurate patient and digital records while ensuring confidentiality and compliance with privacy regulations.
- Liaise with medical representatives, hospitals, and other relevant parties.
Other
- Provide assistance to the Receptionist and perform additional duties as requested by the Operations Manager.
- Ensure compliance with all applicable privacy and data management processes and policies.
Essential
- Excellent interpersonal and communication skills.
- Accurate typing skills using a dictaphone
- Highly organised with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
- Proficiency in MS Office (Outlook, Word, Excel).
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- Flexibility to work occasional out-of-hours shifts.
- High level of integrity and ability to demonstrate discretion in handling sensitive and confidential information.
- Personable, caring, and empathetic.
Desirable
- Experience in a research center or not-for-profit organization.
- Knowledge of Private Health funds and Medicare billing.
- Familiarity with medical terminology and medical CRM systems (e.g., Helix).
