About Us

Yawoorroong Miriuwung Gajerrong Yirrgeb Noong Dawang Aboriginal Corporation (MG Corporation) was established in 2006 to receive and manage the benefits transferred under the OFA to the MG People, who are recognised under Australian law as holding Native Title over large areas in the North of Western Australia’s east Kimberley region.

The Position

The primary objective of the Compliance and Finance Coordinator (CFC) is to manage the Compliance and financial obligations for all assets, programs and general financial functions of MG Aboriginal Corporation. Within the CFC portfolio this includes the functions of Corporation Compliance, Information Technology, Asset management including vehicles and housing, Funding and Consulting projects and general finance work for the Corporation. These functions are to be closely managed to ensure the organisation is supported in an efficient, financially feasible manner to achieve the current and future goals of MG Corporation can be met in all areas. The CFC reports to the Corporate Services Manager (CSM).

Key Responsibilities

Program Funding Management 

  • Manage program funding submissions including relevant communications, stakeholder engagement, budgets and financial allocations.
  • Manages project financial resources to ensure their efficient application to achieve the required outcomes and milestones.
  • Supervises and administers external contracts with consultants and contractors as required.

Stakeholder relationships 

  • Proactively establishes and maintains a relationship with a range of stakeholders including federal, state and local government, tertiary institutions and other non-government bodies.
  • Proactively works with MG Corps external Accountant.
  • Represents MG Corp at relevant seminars, conferences, workshops and similar, including providing presentations as required.

Plans and strategies

  • Contributes to the updating of policies and procedures when required.
  • Participates in the development of future investment plans and funding proposals when required.

Teamwork, communication and relationships

  • Contributes to building a positive culture for the MG Corp team by establishing and maintaining effective, supportive and cooperative working relationships. 
  • Works collaboratively with other staff/projects to achieve optimum project outcomes.

Workplace Health and Safety

  • Undertake all activities in line with WHS best practice, policies and procedures.Adhere to Safe Work Methods including wearing PPE as required.
  • Complete all documentation and reporting as required.
  • Participate in WHS continuous improvement.

Property Management

  • Manage all properties within a property compliance register to include property maintenance, management of property for incoming and outgoing tenants, insurance, budgets, building Compliance and risk management, rent invoicing and outlining key features for each property.
  • Undertake regular inspections and condition reports of properties to ensure property compliance as per the property register.
  • Liaise with external stakeholders and maintenance professionals to keep properties at a good standard.
  • Adhere to property leasing standards and manage leasing contracts at all stages and negotiate lease terms with new and existing lessors.
  • Make sure all end of lease obligations are met and contracts terminated appropriately.
  • Provide regular reporting and updates of the register to the CSM  and recommend capital improvements when required.

Tenant Liaison

  • Manage the tenant application, selection and processing stage to ensure a fair and culturally appropriate service is delivered.
  • Adhere to cultural protocols when liaising with members.
  • Support tenants in working with them to achieve a positive outcome at all times.
  • Work with tenants to collect rental payments and provide assistance in explaining documentation, requirements and expectations of being a tenant of a MG Corp. property.
  • Work with Tenants to resolve tenant issues when required.

Maintenance and Asset Management

  • Engage Architectural, Consulting and Building Services to supply appropriate interior fitout and services in existing, new or refurbished premises. 
  • Source, negotiate and review centralised contracts specific to security, cleaning, air conditioning, and other property services. 
  • Assist in trouble shooting and complaint management when required.
  • Provide for refurbishment, planned, ongoing and remedial maintenance services across all properties.
  • Manage an Asset Register for all assets to meet compliance, safety and financial requirements.

Motor Vehicle and Fleet Management

  • Provide efficient management of fleet of motor vehicles, including monitoring the utilisation of the fleet of vehicles, arranging the ordering of new vehicles, and liaising with employees regarding their order.
  • Provide overall management of administrative activities relating to fleet management, including the recording of vehicles, taking receipt and the distribution of traffic infringements, ordering fuel cards, and collating data regarding vehicle damage and insurance claims. 
  • When required, source quotes from possible suppliers of fleet vehicles, and draft proposals for the Executives consideration.
  • Obtain an understanding of the terms of existing supplier contracts and advice on these terms when requested.

General Corporation Administration, Procurement and Finance

  • Liaison with members and cultural protocols appropriately.
  • Maintain strict confidentiality and professional approach, when dealing with incoming and outgoing communications (e.g., telephone, electronic, hard copy and in person) 
    both with members and other parties.
  • Participate in performance reviews and professional development as required, 
    including undertaking further training;
  • Investigate, negotiate and manage centralised procurement contracts where there are organisational benefits to be gained e.g., travel, stationery.
  • Where contracts are established implement the requirements of the organisations procurement policy are met.
  • Manage all invoicing, accounts payable and receivable for the Corporation.
  • Undertake reconciliation of bank accounts
  • Prepare financial information for the external accountant as required.

Selection Criteria

Essential

  • Tertiary qualifications in business, finance, project management and/or demonstrated extensive experience in the fields of finance, Compliance and administration and the not-for-profit sector working with Aboriginal people.
  • Demonstrated financial and report writing skills and experience in the reporting processes required by government funding contracts.
  • Excellent communication, interpersonal and negotiation skills including demonstrated ability in managing finances and performing as part of an effective team.
  • General accounts processing experience, Compliance and working with program budgets and allocation of funding.
  • General experience in managing the day to day operations, Compliance and financial obligations of asset management.
  • Be self-motivated, have well developed time management skills and an ability to meet deadlines.
  • Experience in the management of consultants and contractors
  • Proficiency in use of Microsoft Office software or similar.
  • Current ‘C’ Class Driver’s License or better.
  • Australian Residency or eligibility to legally work in Australia.
  • Demonstrated business acumen and ability to lead significant change.
  • Solid leadership and emotional intelligence skills with demonstrated ability to engage others to understand and embrace organisational culture, directions, goals, and client service ethos.
  • Ability to identify opportunities for change and lead improvement initiatives.
  • Highly developed communication skills, both written and verbal, including an ability to prepare high level reports to Executives and external parties.
  • An ability to manage a multitude of complex tasks and projects simultaneously.
