We are a successful boutique builder based in Melbourne’s North, specialising in high-end hospitality, commercial, and residential builds throughout Victoria. Our growing team and project portfolio require a skilled administrative all-rounder to oversee critical operational functions, ensuring efficient project processes.
Role Responsibilities
- Maintain project documents and correspondence, including client files, contracts, progress claims, variations, and other required documentation.
- Manage pre-site and on-site client portfolios.
- Prepare tender packages and coordinate trades for job cost estimating.
- Liaise with architects, clients, subcontractors, and suppliers to schedule, discuss, and resolve construction matters.
- Perform take-offs and order materials.
- Create workflows and complete tasks as they arise.
- Assist the construction team with site-related matters.
- Manage the company's social media account and website including content curation, liaise with project photographers, and improve external engagement.
- Review and improve processes and systems continuously, solve problems throughout the project lifecycle, and offer up the best solutions.
- Maintain high levels of detail and quality control.
About You
We are looking for someone who wants to be part of something special - helping to grow our business. The successful candidate will possess:
- Experience in pre-site administration, project coordination, or contract administration within the building and construction industry.
- Proficiency in administrative tasks, especially in Microsoft Office Suite (Project and Excel in particular).
- Ability to coordinate multiple projects simultaneously with the internal team, contractors, and clients.
- Desire to be part of a growing business, working autonomously in a small team, taking ownership of the role, and demonstrating reliability and a strong work ethic.
