The Office of the Lord Mayor is a fast-paced office operating in a political environment working across multiple issues at any given time. 
The Correspondence Coordinator contributes to the Lord Mayor’s Office (LMO) by coordinating all forms of correspondence received by LMO, and providing confidential support to the Lord Mayor. The Lord Mayor receives over one hundred pieces of correspondence every week, so this role is integral to the functioning of the Lord Mayor's Office.

The Correspondence Coordinator is required to draft complex correspondence, ensure the highest degree of accuracy and respond to all forms of correspondence within the timeframes set by our corporate targets and
preferably exceed them. The Correspondence Coordinator assists to the Lord Mayor on matters requiring research or investigation and escalated customer correspondence enquiries.

 What you will bring… 

  • Ability to demonstrate and display City of Melbourne Values – accountability, integrity, courage, respect for self and others, and striving for excellence.
  • Degree / Diploma or Tertiary qualifications with some relevant work experience
  • Experience gained in an administrative role at a senior executive level in a large, complex organisation.
  • Proven discretion and judgement in dealing with sensitive and confidential information in a political environment and one with a high level of media or public relations focus
  • An understanding of Local Government, including an understanding of the role of Councillors, the Lord Mayor and Deputy Lord Mayor
  • Highly developed customer service skills and demonstrated ability to be professional, discrete, courteous, and maintain confidentiality
  • Extensive experience in developing, implementing and maintaining policies, systems and processes to drive efficiency across administrative functions.
  • Experience with electronic document management systems and customer contact tracking systems (Salesforce, Pathway) is essential.
