About the Role
The Council Reports Officer is a key member of the Council Reports team. The Council Reports team is accountable for providing sound, accurate, timely and professional administrative and statutory support in the administration of statutory Council meetings.
The position is responsible for ensuring the highest levels of administrative and good governance at Council meetings including the preparation and distribution of Agendas and Minutes.
Reporting to the Senior Council Reports officer the core responsibilities include:
- Undertaking the coordination, preparation, proofing, compilation and distribution of agendas and minutes for meetings of the Council and relevant committees.
- Coordinating, attending and providing administrative support (including taking minutes) for meetings of the Council, its committees and other Council sponsored meetings, including Forward Planning and Planning Services Committee Meetings.
- Attending Council Meetings and citizenship ceremonies (approximately 20 annually) outside of normal business hours (overtime or time in lieu available).
- Assist in the coordination and administration of citizenship ceremonies including Australia Day.
- Ensuring timely and person focused customer service is delivered at all times.
- Complying with Council policies, procedures and guidelines.

- Ability to handle issues that may be ambiguous or sensitive in nature.
- High level of diplomacy and discretion in dealing with political processes of Council and confidential information.
