MMA has an exciting opportunity for a Crewing Support Officer to join our Vessel Crewing Team, reporting to Offshore Crewing Manager. This role provides comprehensive support to the Crewing team with personnel logistics and supporting the employment lifecycle.
This is a full-time permanent position based in our Perth CBD office, Western Australia.
Key Responsibilities:
- Coordinate the onboarding and termination processes for employees, in accordance with Company procedures.
- Assist with recruitment activities including: booking pre-employment medicals, training, references and police checks.
- Allocate online inductions and ensure crew have completed all Company inductions prior to mobilisation.
- Managing a confidential comprehensive competency register/database of personnel qualifications matrices, private information and training particulars, from point of hire to end of employment.
- Creating resumes for Client approvals and project requirements.
- Process expense claims for crew, ensuring all claims are in accordance with Company policy.
- Regularly conduct reports on upcoming expiring tickets and escalate accordingly.
- Coordinate visa applications for crew inbound to Australia.
- Create Purchase Orders.
- Roster allocations for crew to vessels.
- Conduct project personnel travel logistics, mobilisation and demobilisation crewing requirements to provide absence coverage as required.
- Coordinate the vessel checklist, ensuring compliance of tickets for crew.
- Assess the training matrix report and manage gaps identified.
- Obtain flag state approval for tickets when sailing on a non-Australian vessel.
- Ensure performance appraisals are conducted, recorded and follow up line mangers as required.
- Ensure employees are approved by the Client prior to mobilisation.
- Provide out of hours support for logistics as required.
- Certificate or Diploma level qualification in Business Administration (desirable)
- Experience in the Marine industry (desirable)
- Relevant experience in a similar role in personnel related logistics support
- Proficiency with Microsoft Office suite
- Proven experience in a busy project environment, dealing with conflicting priorities and deadlines
- Ability to work in a team including supporting others during peak periods in other areas of the business
- Must be adaptable to changing situations, deadlines and tasks
- Ability to work with various stakeholders (office, offshore, onshore and site)
- Maintain a meticulous attention to detail and accuracy
