The role
We are seeking a Daily Organiser/Timetabler to join our Doveton Campus. This is a Full time position, commencing 3rd June 2024. 7:30am - 3:30pm.
Essential Duties and Responsibilities Include the following:
• The Daily Organiser will be provided with a school mobile phone and any other technology required to perform the role.
• Ensures that Islamic values are embedded into all aspects of the College
• Ensures that the college vision and mission is recognised and implemented through all aspects of the College
• Develops and implements efficient processes and procedures for informing school staff on a daily basis of their responsibilities with regard to required duties
• Walks about school buildings and property to monitor safety and security and/or directs and coordinates teacher supervision of areas such as school yard, corridors, gym, mosque and canteen
• Reports Occupational Health and Safety hazards to Business Manager and OH&S Rep.
• Monitors staff and CRT punctuality to duties and provides reports to the leadership team
• Develops reports by providing relevant statistics and data to the Head of Human Resources and Principal as required
• Works with Vice Principals to oversee the campus calendar
School Timetable
• Prepares a primary department timetable for respective campus, including the yard duty timetable, extreme weather timetable and updates when necessary
• Centralises storage of individual education support/intervention timetables, room timetables, hifz timetable and timetables required for any extra curricular initiatives
• Works with leadership team and cross campus Daily Organisers to review processes, use of technology and improve timetabling processes
• Works with the leadership team, systems coordinator and IT department to for timetable and extras related activities on school app, synergetic and schoolbox.
Management of Daily Absences
• Commences duty at 7am to be available to receive phone calls and messages regarding absences.
• Responds to communication from staff in reference to absences the evenings prior to a school day during agreed and communicated times
• Is mindful of staff needs and circumstances when allocating duties as communicated by the Leadership team
• Informs staff of replacement classes or duties via a Daily Extras Sheet shared by 8:15 am.
• Is available each morning to cover classes and duties of absentee teachers either through the assignment of extras to staff or by the use of CRTs fairly
Management of Activities and Events, excursions and camps
• Prepares timetables and rosters for school related activities and events including lunch time clubs, homework clubs, Quran tutoring, excursions, incursions, camps, workshops, internal professional learning etc
- Contributes to the weekly bulletin
- Manages staffing and ratios on excursions/incursions and camps and takes the required steps to re-allocate duties
- Maintains records of Risk Management Plans for excursions, incursions and camps
- Organises buses for excursions and camps.
- Works with the leadership team to organise the annual camp
- Coordinates schedules and rosters for the annual School Photo Day and liaises with the School Photography Company to plan ahead and communicate with staff and parents.
- Works with the leadership team to maintain social media and marketing
- Assists the Leadership Team in preparing for and organising events such as: Quran Graduation Ceremony
- Annual Quran Awards Ceremony

Recruitment, ActionHRM and Payroll
- Works with the Principal, Vice Principals and Business Manager to recruit CRTs and CRAs; shortlisting candidates for recruitment, attending interviews where required, conducting reference checks
- Reviews and updates the CRT handbook annually.
- Organises an induction for all new CRTs communicating college expectations, policies, procedures and protocols.
- Works with the leadership team to organise induction for new staff
- Uses technology and systems to:
- Manage the extras app on academium to map student attendance and replacement classes.
- Action leave workflows on ActionHRM as per the leave policy; liaise with the workflow reporting manager as needed.
- Submit CRT timesheets on ActionHRM.
- Work with the payroll team to process workflows and timesheets in a timely manner.
- Works with the business manager to replace absent administrative staff and manages their timesheets where applicable.
