CWBTS, a leading provider in the education and apprenticeship sector, is seeking a motivated and detail-oriented individual to join our team as a Data Quality & Compliance Coordinator. Position Overview:

As the Data Quality & Compliance Coordinator, you will play a crucial role in maintaining the accuracy and integrity of data related to our apprenticeship programs in New South Wales (NSW), Queensland (QLD), and the Australian Capital Territory (ACT). Your responsibilities will include ensuring compliance with regulatory requirements, monitoring data quality, and implementing measures to enhance data accuracy across various platforms.

Key responsibilities:

  1. Data Management and Accuracy: Ensuring that all data related to student enrollments, attendance, completions, and cancellations is accurately recorded and maintained in compliance with the Smart and Skilled requirements. This includes ensuring that the data is entered correctly into the required systems and databases.
  2. Compliance Monitoring: Regularly reviewing and monitoring compliance with the Smart and Skilled guidelines and requirements. This involves staying updated with any changes to the funding rules and ensuring that all practices within CWBTS are aligned with these rules.
  3. Claim Preparation and Submission: Preparing and submitting claims for funding in accordance with the Smart and Skilled payment schedule. This includes ensuring that all required documentation is complete, accurate, and submitted on time.
  4. Reporting: Generating reports related to Smart and Skilled activities, including student progress, financial claims, and compliance reports. These reports may need to be submitted to internal stakeholders, as well as to the NSW government or other regulatory bodies.
  5. Liaison and Communication: Acting as the main point of contact for all matters related to Smart and Skilled funding. This includes communicating with staff members about compliance and data requirements, as well as liaising with the NSW Department of Education or other relevant authorities regarding funding, audits, and compliance issues.
  6. Audit Preparation and Support: Preparing for and supporting any audits related to Smart and Skilled funding. This involves ensuring all records are audit-ready and assisting auditors with any inquiries they have regarding the data or claims submitted.
  7. Training and Support: Providing training and support to staff regarding the requirements for Smart and Skilled data collection and claim submission. This may involve developing and delivering training sessions or resources to ensure all staff understand their responsibilities under the Smart and Skilled contract.
  8. Problem Resolution: Identifying and resolving any issues that arise with Smart and Skilled data or claims, including discrepancies in data, delayed payments, or non-compliance issues.
  9. Continuous Improvement: Regularly reviewing and improving processes related to Smart and Skilled funding to enhance efficiency, compliance, and accuracy in data management and claim submission.
  10. Stakeholder Engagement: Engaging with internal and external stakeholders, including students, trainers, and government bodies, to ensure smooth operation and compliance with Smart and Skilled requirements.

Qualifications and Skills:

  • Hold operational knowledge of the Standards for Registered Training Organisations 2015 (RTO Standards) in relation to student progress and data reporting.
  • Ability to meet ASQA Fit & Proper persons requirements.
  • Proven experience in data management, quality assurance, or compliance roles.
  • Strong understanding of apprenticeship programs and relevant regulations in NSW, QLD, and ACT.
  • Excellent attention to detail and analytical skills.
  • Effective communication and interpersonal skills.
  • Ability to work independently and collaboratively within a team.
