Position Objectives:
Support Council in delivering efficient and timely information relating to Building, Planning, Environmental Health and General Inspector Services, by;
- Providing administrative support to the Development Services team
- Providing continuity and support to the Planning, Building, Environmental Health, and General Inspector officers in developing and implementing departmental processes.
- Providing support in attending to customer enquiries relating to the full range of activities associated with Development Services
- Providing support in the assessment, processing and determination of development applications including the undertaking of minor planning assessments under supervision of the Manager Development Services.
Responsibilities:
- Provide support in the provision of information to applicants, regarding the processing and determination of development applications.
- Provide administrative support to the planning officers, building surveyor and environmental health officer.
- Support the general Development Assessment processes, including;
- Undertake admin tasks/duties as required to assist the Development Services Team
- Manage Development mail inbox
- Assist with processing invoices/records enquiries
- Preparing applications for public notification, including preparation and erection of public notification signs,
- Liaison with external agencies,
- Undertake Section 7 searches, ensuring they are processed in a timely manner.
- Assist in the preparation, distribution and recording of reports as requested.
- Coordination of the administrative requirements relating to Environment Resource Development (ERD) Court matters, Development Application Processing (DAP) system (planning portal), Council strategic planning, presentations, public consultation, Elected Members liaison, organisation of functions/meetings and travel arrangements.
- Coordinate the preparation and distribution of Council Assessment Panel (CAP) reports, agendas and minutes (including taking of minutes), and liaison with Customer Service team.
- Carry out general administrative support tasks as required.
- Attending to front counter and telephone enquiries about general departmental issues
Knowledge:
- Good oral communication skills characterised by patience, clarity and empathy, in order to provide information to customers, both internally and externally.
- Good written communication skills in order to accurately assist in the processing of applications, develop and edit correspondence, certificates, permits and documents relevant to the department.
- Organisation skills, including personal time management, prioritisation and team skills.
- High level of proficiency in Microsoft suite of applications and the ability to use software applications including Synergy Soft and the PlanSA ePortal.
- Demonstrated ability in conflict management in order to deal with difficult customers
Qualifications and Experience:
- Year 12 SACE or equivalent
- Certificate IV in Administration or equivalent (desirable)
- Experience and proficiency in administration procedures, file management and all aspects of word processing and spreadsheets
- Experience in Local Government (desirable)
- Experience in development administrative processes
