Hays Gippsland are currently seeking a Document Administrator to work for a local council, commencing immediately for a 6-month temporary role with potential for an extension. You will be required to work part time hours 0830-1700, Monday to Wednesday onsite in Sale. The role of a Document Administrator will be to provide a range of efficient support to the internal Information Management team.
You will be responsible for the following
- Process inwards mail, including cheques, and distribute mail to relevant departments as required.
- Capture records within the EDRMS to ensure accurate records of the organisations business activities in accordance with CPIs.
- Receive, audit and sort outwards mail for posting, and record statistics on outwards mail, (Australia Post) to assist with costing.
- Organise and perform as necessary, courier services and delivery of mail to/from Australia Post as required to ensure timely delivery of internal/external mail in accordance with CPIs.
- Classify incoming mail in accordance with applicable PROV Retention and Disposal Authorities to determine the minimum retention requirements of each record.
- Ensure that full confidentiality is kept regarding all incoming and outgoing correspondence and other issues that involve the organisation.
- Ensure all enquiries received by information management are promptly responded to in accordance with the Customer Service Charter.
What you'll need to succeed
- Proven experience within Information Management or senior administration is highly desired
- Excellent written and verbal Communication, interpersonal and customer service skills
- Excellent telephone and email etiquette
- Ability to work within a team or independently in fast paced environments
- Excellent attention to detail and adaptability
- Intermediate-advanced computer skills with previous use of Microsoft 365. Use of EDRMS is highly desired
