Purpose of the role:
We have an exciting opportunity to join the SEQ Project Delivery team as a Document and Process Officer. In this role you will provide records management and document control services, and assist with general administrative support, for the SEQ Project Delivery team, including using TRIM, Aconex and Ariba.
About the Role:
- Provide Records Management support for projects, including being a super user of our records management system, creating electronic folders and structures, providing user access, archiving completed records, and troubleshooting issues.
- Provide Document Control support for projects, including creating profiles and setting up user access to the document control system, plus undertaking document control activity on an ad-hoc basis.
- Share your Records Management and Document Control expertise to enable others, via coaching and support of project team members and other local personnel.
- Assist with general administrative and project support, including purchasing supplies, assisting with onboarding new personnel, and local sourcing / procurement activities.
- Develop and/or quality review local procedural and Process guidelines.
- Ensure that project documentation is correctly transmitted and received in the chosen document management system in accordance with standards.
- Maintain close working relationships with delivery partners and stakeholders.
- Coordinate project related activities within Aconex and Ariba ensuring business rules and document controls are followed.
- Substantial knowledge of records and document management best practices and the application to information management.
- Proven ability in administering, using and maintaining document management systems.
- Ability to develop process improvement initiatives and write / review processes and documentation.
- High level of system and software application skills in relation to Document and data management, such as TRIM, Ariba, Aconex, SharePoint, as well as general computer applications such as SAP and Microsoft Office Suite.
- High level of written, oral, and interpersonal, communication skills.
- High level of administrative, time management and organisational skills, including attention to detail and understanding of critical deadlines.
- Knowledge of and willingness to commit to and work within Queensland Rail Values and Behaviours.
