The opportunity
We currently seek an experienced and forward-thinking Document Controller to be part of a high performing team on a ‘mega program’ of projects, relating to the Education sector. This state-significant program will revolutionise the way we build and manage projects in the future, directly impacting the communities we operate in.
The role of Document Controller is pivotal in maintaining accurate and organised records within our project team, creating efficiencies and continuous improvement. Managing the lifecycle of documents from creation to archiving, this role ensures efficiency and adherence to governance. Meticulous attention to detail and effective collaboration with stakeholders (public and private sector) and construction partners on the project are essential.
- Spearhead the lifecycle management of project documents, ensuring seamless coordination from creation to archiving.
- Uphold the highest standards of excellence in documentation practices.
- Manage document control software to monitor document status, regulate access permissions, and foster seamless collaboration.
- Champion robust procedures to govern document versions, ensuring the availability of the most current revisions while archiving outdated.
- Execute comprehensive audits to validate document accuracy, thoroughness, and alignment with both regulatory mandates and internal protocols, setting the gold standard for document integrity.
- Serve as the conduit for all document-related inquiries, fostering smooth information flow and a culture of clarity and transparency among stakeholders and projects collaborators .
- Provide training and support in document management processes and software tools to users when required, instilling a culture of compliance and proficiency.
- Spearhead initiatives to enhance processes within the document management system, identifying and seizing opportunities to streamline workflows in collaboration with stakeholders.
- Proven track record in document control or records management, preferably in regulated industries such as manufacturing, construction, or healthcare.
- Skilled both in the strategic analysis of document control processes and hands-on in ensuring its effective execution across major projects.
- Strong technical understanding of document management software and systems (e.g. SharePoint or Aconex)
- Highly organised with a meticulous attention to detail.
- Excellent communication and interpersonal skills with the ability to build relationships and collaborate with a broad range of stakeholders.
- Ability to thrive in a high performing, fast-paced environment which is constantly evolving and prioritise tasks effectively.
