About the role: 

The Australian Financial Security Authority (AFSA) is responsible for managing the application of bankruptcy and personal property securities laws through the delivery of high-quality personal insolvency and trustee, regulation and enforcement, and personal property securities services. 

Purpose of the Position: 

The Executive Officer provides high level executive, administrative and coordination services to the National Manager/Executive and division leadership team. The Executive Officer works across AFSA with a range of key stakeholders to prepare internal and external communications and to prioritise activities to support operational, strategic and project deliverables.

Key accountabilities

  • Act as the point of contact for the National Manager/Executive and division leadership team to coordinate high level executive and administrative support, including project activities to support the strategic objectives of the division.
  • Monitor and assist with managing the resourcing and budget requirements, including allocation and forecasting of resources of the National Manager/Executive and division leadership team to enable and advocate for the forward planning of the division.
  • Prepare and co-ordinate the provision of effective communications, quality assurance, and correspondence including parliamentary responses, briefings, executive submissions and reports to ensure the comprehensiveness, accuracy, and timeliness of written information for the National Manager/Executive.
  • Supervision and workload management of the Executive Assistant, including the management and delivery of ad hoc and BAU initiatives and provide leadership to other Executive Assistants within AFSA. 
  • Works under limited guidance and acts as the National Manager/Executive point of contact, liaise with stakeholders and action requests to coordinate activities and correspondence with some complexity and proactively ensure the division meets its deadlines and accountabilities.
  • Monitor and manage administrative activities with strategic, operational and project plans to inform key decision makers and support achievement of divisional objectives.
  • Identifies, monitors and reports on emerging issues to the National Manager/Executive to ensure effective resolution/escalation, with minimal risk impact to the division. Responsive to and keep the division’s leadership team informed.
  • Plan, develop and implement administrative practices, systems and procedures to optimise efficiency and support the strategic objectives of the division achieving quality outcomes.
  • Work as part of a team with Executive Officers and Executive Assistants across AFSA to ensure a coordinated approach to enable the flow of information and work.

Qualifications, accreditations and experience

  • Demonstrated experience in a senior administrative capacity with a strong attention to detail and excellent problem-solving skills. 
  • Excellent oral and written communication skills, stakeholder engagement skills and the ability to support colleagues working across tasks to manage competing priorities. 
  • High levels of professionalism, personal integrity and confidentiality. 
  • Proficient IT skills in the Microsoft Office suite (Word, Excel, Teams, SharePoint and Outlook) and an ability to learn other software specific to the role:

o CTM travel booking system.

o Finance One financial management system, and 

o Records Management system.
