Location Profile

Fitzroy High School, is a vibrant, progressive, medium-sized government secondary school, located in the inner city suburb of Fitzroy North. The school delivers a year 7-12 curriculum to over 600 students.

The school is surrounded by residential housing, local shopping precincts and extensive parklands. It primarily serves students from the local area and nearby suburbs. Many students ride their bikes and walk to school. There are extensive public transport network close to the school that provide easy access for the school community and for excursions.

The school's physical environment consists of the original buildings and recent additions; there are various room configurations providing some flexibility of use. The grounds are quite small but are augmented by using local facilities such as Edinburgh Gardens. The grounds have had significant student input in design and construction and include a kitchen garden, school-wide and community composting system and indigenous gardens.

Senior Programs Partnership

Fitzroy High School offers a comprehensive Senior Program including VCE, VCAL and VET certificates, and has been partnering with Collingwood College for over 10 years to co-deliver the VCE curriculum. The partnership allows both schools to be responsive to the needs and interests of students and provides the capacity to offer a greater range of subjects, compared to what would be possible stand alone. The two schools offered 95 classes this year across Years 11 and 12.

The Senior Programs Partnership is a significant priority for both Fitzroy High School and Collingwood College and the opening of the new shared campus - Wurun Senior Campus in 2022 has provided an exciting state of the art senior learning environment to accommodate the senior students of both schools.

The combined leadership teams of the two schools believe optimal senior student outcomes can best be achieved from well-integrated collaboration, while also maintaining the identities of two separate schools. The Partnership is designed to complement each school¿s strengths.

Wurun Senior Secondary Campus is a new vertical campus jointly run by Collingwood College and Fitzroy High School that offers a comprehensive Senior Program including VCE, Applied Learning, and VET certificates. The partnership allows both schools to be responsive to the needs and interests of the students and provide a wide range of Senior Secondary options.  This partnership has been co-delivering the VCE and Applied Learning programs for a number of years.   The combined leadership teams of the two schools believe optimal senior student outcomes can best be achieved from well-integrated collaboration while also maintaining the identities of two separate schools. 

This position may involve working across both campuses.

Selection Criteria

KSC1 ¿ Demonstrated knowledge and understanding of DET software systems, including CASES 21 Student Administration, Compass and associated internal controls, policy, procedures, guidelines and conditions relevant to school-based staff.

KSC 2 ¿ Demonstrated capacity to work collaboratively in an Administration team, including the ability to support others in their role, as well as the ability to work independently.

KSC 3 ¿ Excellent interpersonal and communication skills, in particular the ability to relate to a wide range of people in a school environment, and the ability to maintain confidentiality.  

KSC 4 ¿ Demonstrated high level organisational skills, high level written and verbal communication skills, including the capability to prioritise workflows, necessary to support a busy school setting and its business practices.

KSC 5 ¿ A commitment to professional learning and growth for both self and others within the team.

Role

Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy.  Deviation from standard procedures and school policy will require guidance and direction from senior management.

The provision of business management responsibilities becomes a feature at range 3.  Management of staff to achieve the expected outcomes is a key responsibility.  Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases.  Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.

This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years.  Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered.  Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor.  Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Responsibilities

Role Description

To work with the guidance of the Principal, Assistant Principal and Business Manager to deliver administrative service to Fitzroy High School 7 ¿ 10 Campus.

Responsibility

Enrolment Officer

·         Manage the processing of student admissions, registrations, enrolments and transfers.

·         In conjunction with the Assistant Principal, record all enrolment enquiries, book enrolment interviews, liaise with prospective families and distribute information as required

·         Assist the Assistant Principal and Year Level Leaders with the enrolment of students Student Information folders.

·         Enter data on CASES 21 Student Admin regarding student enrolments and transfers, change of student information

·         CASES 21 student data entry and other data entry as required.

·         Collate all Year 6 to Year 7 transition applications and liaise with feeder schools as required

·         Communicate transition information to Assistant Principal, Principal and Business Manager as required

·         Follow year 6 to year 7 transition process

·         Send communication to all future year 7 families as required

·         Process student Exits for both the 7 ¿ 10 Campus and Wurun Senior Campus for all Fitzroy High School students.

Administrative Duties

·         In conjunction with the Business Manager and Office Manager, provide information and support for reception and telephone enquiries

·         As required work on reception, answering phones, receiving and responding to parent, student and visitor enquiries and other duties as required

·         Scheduling and minute taking at various meetings as required such as but not limited to, Friday briefings, Enrolment Committee meetings

·         Assist the Principal and Business Manager in the collation and distribution of School Council documentation for meetings

·         Support to the Business Manager in relation Human Resources in particular to recruitment processes within the school such as but not limited to; distributing referee checks to referee¿s for positions advertised by the school, liaising with panels for interviews, scheduling interviews, setting up interview room and distributing interview questions to the panel prior to each interview.

·         Updating and uploading information to the school website and Instagram as directed by the Principal, Assistant Principal or Business Manager

·         Back up to the Daily Organiser as required for on site tasks such as, posting the bulletin in staffroom, communicating with CRT¿s for their schedules.

First Aid Administration

  • ·         Maintaining records of all First Aid trained staff members in the FHS training planner
  • ·         Coordinate the First Aid training of staff across all campuses and ensure staff First Aid certifications are up to date.
  • ·         Liaising all planned First Aid training days with Daily Organisers to ensure coverage of staff if applicable
  • ·         Updating and distributing various First Aid procedures including but not limited to, Purchasing First Aid items, First aid room auditing, Medication for students, restocking First Aid kits, preparing and restocking camp First Aid kits etc.
  • ·         Maintaining records of all EpiPens for whole school including student EpiPen and school owned expiry dates and locations
  • ·         Providing twice yearly anaphylaxis and asthma briefing to all staff
  • ·         Conducting the correct use of autoinjector sign off¿s for all staff, maintaining records of completion and notifying staff when training is required
  • ·         Ensuring accurate data is recorded on Cases21 for all student accident and incident reports and all First Aid/sick bay reporting.
  • ·         Providing assistance to administration staff where needed for all First Aid reporting and record keeping
  • ·         Liaise with Assistant Principals and Wellbeing Coordinators regarding students with medical conditions, ensuring appropriate documentation is provided in compliance with DET policies.
  • ·         Ensuring all updated DE policies and adhered to and communicated with FHS staff as required.

Other duties as directed but the Principal/ Assistant Principal or the Business Manager.
