St Catherine's College is situated adjacent to the University of Western Australia Crawley campus and is just minutes away from Kings Park, Hollywood Private Hospital, QEII Medical Centre and Matilda Bay. We also have a second campus at Curtin University. We have state of art conference and events facilities on both campuses that are growing in reputation. 

Due to internal transfer, an opportunity has opened up in our hospitality department to work “normal” hours in a front of house service position. We are looking for someone who understand guests' needs and continually go out of their way to exceed their expectations. Someone who strives to provide outstanding service and enjoys rolling up their sleeves to ensure the presentation of seminar and conference facilities is second to none. We are looking for someone who will positively contribute towards providing seamless events experience. 

This role is based at our UWA campus with requirement to work at Curtin campus for events, as required. 

The Events & Guest Services Coordinator is a member of the hospitality team. Working closely with the Director of Hospitality, the role is integral in successful coordination of bookings, organizing events, providing high quality, professional service and assistance to the clients and visitors to the College. 

Key responsibilities include:
  • Offer professional reception service where this role is based.
  • Respond to all event enquiries in timely manner. 
  • Accurately maintain events booking system.
  • Prepare accurate and timely quotes for clients.
  • Prepare accurate and up to date run sheets for operations team & conduct weekly events meeting.
  • Work with operations team to setup conferences, seminars and internal events.
  • Provide seamless service experience to guests with operations team on daily basis for external events.
  • Prepare invoices for all external events.
  • Provide efficient and timely communication to clients & internal staff about events hosted in college.
  • Provide administrative support to Director of Hospitality and other departments as required.
Experience, Skills & Competencies required:
  • Events operations experience (essential).
  • Experience in developing and maintaining professional relationships with clients.
  • Ability and willingness to respond to event enquiries competently and efficiently.
  • Ability to successfully coordinate and facilitate client meetings and site inspections.
  • Intermediate Office suite skills – Microsoft Word, Outlook, and Excel
  • Impeccable presentation and professional telephone & email manner
  • Excellent written & verbal communication skills
  • Proven ability to work independently and as part of a small team.
  • Proven ability to multi-task and work under pressure.
  • Well-developed interpersonal skills including diplomacy and strong relationship building.
  • Positive attitude, high accuracy and attention to detail.
  • Willingness to assist with physical set up of events and administrative or other tasks for any area of the organization.
  • Rights to work in Australia.
  • Willingness to abide by the College Code of Conduct and act in a professional manner at all times.                                                               

This is a full-time salaried role with some requirement to work after-hours/weekend based on business needs.

To be successful in this role you will be a highly organized individual with a proactive and enthusiastic attitude. You will be self-motivated, be professionally presented, have excellent interpersonal and relationship building skills with both internal and external stakeholders.
