Job description

Boutique has partnered with a well-known Venture Capitalist firm to find an experienced Executive Assistant & Office Manager.
  
Responsible for providing top-tier Executive Assistance to the CEO, a prominent Australian High-Net-Worth Individual, and maintaining a seamless and efficient working environment, this role is part of an energetic and solution-focused team where you’ll be exposed to and involved in the exciting inner-workings of venture capital helping a diverse range of stakeholders solve business problems and identify opportunities.
  
You’ll be the face of the business and be tasked with managing business operations, coordinating schedules, and ensuring all stakeholder engagements are completed with professionalism and personalisation.
  
The roles responsibilities will include but may not be limited to:

  • Maintaining a comprehensive knowledge of the business and its operations.
  • Strategically managing the CEO's calendar to optimize their time for critical business activities.
  • Communicating with stakeholders and providing timely responses to inquiries on behalf of the leadership via email and/or phone
  • Keeping all business and executive databases current, including updating records and personal registers
  • Welcoming guests and overseeing office and facilities management
  • Filtering and prioritizing incoming communications & drafting correspondence for leadership.
  • Financial management and oversight including updating financial documents expenses, accounts reconciliation, and invoicing.
  • General administrative support to the broader team
  • Handling ad-hoc tasks as required by the CEO.
  • Managing the executive’s travel plans and taking charge of office administration.
  • Providing direct support to the executive’s family, managing both business and personal schedules
You will have more than five years of experience in a similar role, ideally within a fast-paced and at-times pressured environment, demonstrating exceptional problem-solving skills, task prioritization, and meticulous attention to detail. You should have excellent all round communication abilities, a steadfast commitment to confidentiality and professionalism, and the ability to work full-time in the office.

Advanced computer literacy, particularly in MS Office, outstanding stakeholder management skills, and a proactive, adaptable, and self-driven attitude are also essential for success in the role.
  
Familiarity with legal, compliance and procedural standards relevant to the sector will be highly advantageous.
