The Role

Working closely with the Chief Property and Retirement Living Officer, the Executive Assistant (EA) supports all aspects of their daily work routine across property services, asset strategy and Retirement Living. In this high-profile position with a broad and varied remit, the EA assists with the management of Amana Living’s Building and Lease Management.

Key responsibilities

  • Diary and email management
  • Receiving, prioritising, organising, and actioning meeting requests from internal and external stakeholders
  •  Monitor and manage diary to allow for effective preparation of reports/agenda submissions and project work
  • Monitoring email inboxes regularly, categorising emails or deleting junk/spam

    • Drafting correspondence on behalf of the CPRLO where required
    • Ensuring all contacts are kept up to date
  • Executive support
    • Assessing the importance of matters for the CPRLO, delegating tasks to staff for handling, or personally addressing matters as needed
    • Following up on redirected queries
    •  Producing documents, briefing papers, reports, and presentations
    • Liaising with and maintaining positive relationships with all stakeholders, including clients, consultants, suppliers and Amana Living staff
    • Maintain paper and electronic filing systems
  • Meeting management
  • Scheduling meetings and booking venues and other resources
  • Compiling and distributing agendas and meeting materials
  • Coordinating refreshments and catering
  • Taking, preparing, and distributing minutes where required
  • Building and lease management
  • Managing external leasing requirements and liaising with leasing agents on building, maintenance, and cleaning issues
  • Ensuring high cleaning standards to the public areas of the Amana Living corporate office building.
  • Liaising with the contracted cleaners and managing the cleaning contract
  • Team Support
  • Ensuring the Property & Retirement Living team is supported as required, including assisting with meeting management, agendas & minutes, and general team events

About you

The successful candidate will have a talent for organisational, time management and high-level, customer focused administrative support. This position performs a pivotal role in supporting the Chief Property and Retirement Living Officer and the team.

Competencies & Behaviours

  • Exceptional time management and coordination skills
  • Strong research and problem-solving skills
  • Excellent written and verbal communication skills with a talent for relationship building
  • An ability to work independently while also being an active team player and collaborator
  • Previous experience using Diligent boards (desirable)
  • Experience as a SharePoint administrator or in a similar (desirable)

Essential Criteria

  • Be able to demonstrate comprehensive experience in a similar role
  • Intermediate to Advanced knowledge of Microsoft Office Suite
  • A demonstrated ability to learn and/or implement new software systems
  • Evidence of COVID-19 and Current Flu vaccinations per Amana Living policies
  • Ability to obtain a National Police Clearance (within 6-months validity)
  • Successful completion of pre-employment form and reference checks
